DUTIES FOR FV-E: Assists Office Manager and Front Line Management Team, as well as the Administrative Officer, in day-to-day operations, and assist other support staff to coordinate multiple assignments for the Office. Work activities typically support multiple projects/programs and contribute to the objectives of the organizational unit. In addition, the incumbent is trained in Administrative Officer (AO) work functions and performs those duties when the AO is absent. Contacts are primary internal to the organization unit and major subdivision. Internal contacts frequently involve the Office Manager, management team, and Administrative Officer, as well as internal Aviation Safety Inspectors and administrative personnel. Other contacts may frequently include Division Management and employees from more than one organizational unit and/or Line of Business to share information, coordinate efforts, and discuss statuses of assignments. External contacts are typically with customers and other parties on routine matters that relate to the project/program that is being supported. Use limited experience and detailed knowledge to plan and perform administrative assignments for projects/programs. Has an understanding of how administrative assignments contribute to organizational activities. Receives visitors and callers. Ascertains the nature of the visit/call and directs the individual to the appropriate office/team. Serve as the time and attendance focal point for the office.
DUTIES FOR FV-F: Performs a combination of routine, multiple, and varying assignments in support of supervisors, managers, and other employees in day-to-day operations. Plans, develops, monitors, and executes actions required to manage the offices administrative functions. Typical specialized assignments include the following: Provides support and assistance with performance management, pay, leave, tours of duty, incentive awards, leave transfer program and other functions. Ensure that travel orders and other travel documents are prepared accurately and comply with regulations. Assists in developing training requirements/schedules. Assists in managing the government vehicle program. The incumbent performs as a confident in handling information and documents that flow through the office. Ensures incoming correspondence for the manager and others is made aware of time sensitive material. Schedules meetings/appointments, prepares correspondence, provides written and/or oral explanation of organization policies; and coordinates the implementation of new office policies and/or procedures. Examines current office practice/policies and recommends improvements. Applies experience and knowledge of office policies, practices, and views on all significant matters affecting the office. Receives visitors, processes correspondence, record management/files, custodian duties, disseminates information and instructions, and provides guidance to subordinate clerical personnel. Demonstrates considerable independence in planning time, coordinating efforts and assists others planning and identifying resources to accomplish tasks. Serves as the National Administrative Team Lead/Point of Contact for the National Centralized Hiring Process (NCHP) Air Carrier Airworthiness Team in the following areas: Schedules applicant interviews for the NCHP Air Carrier Airworthiness Team. Insures availability of interview facilities and equipment. Coordinates with interview panel members, selecting managers, and respective AFB members. Maintains NCHP database as required. Compiles list of interviewees based on applicants' desired location preferences. Finalizes NCHP process documents for each referral list and forwarding to respective AFB branch. Works independently, within program boundaries, to insure national hiring for the Air Carrier Airworthiness inspector applicants are screened and interviewed in a consistent manner.
To qualify for the FV-E (FG/GS-8) band you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FV-D (FG/GS-7). Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. For the FV-E band, specialized experience may include: Experience using various office automation software systems to create letters/memos, reports, spreadsheets; AND Experience in performing a wide variety of administrative functions to include records keeping, travel administration, time and attendance management, organizing and managing files and records, scheduling meetings, and other administrative functions in support of an office.
To qualify for the FV-F (FG/GS-9) band you must demonstrate in your application that you possess at least one year (52 weeks) of specialized experience equivalent to FV-E (FG/GS-8). Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position.
