The incumbent ensures that the different and varied administrative support functions for which they are responsible are handled in a manner to enhance the efficiency of the Access and Outpatient Scheduling Service. Some of the duties of the position include, but, are not limited to:
Office Manager: Serves as secretary and personal assistant to the AOSS Service Chief and provide a wide range of staff assistance to the Managers and Supervisor within the AOSS service. Based on knowledge of the Service Chief's views, preferences, and policies provides accurate and timely advice on procedures, reports, requirements, and other matters necessary to implement the office policies, directives, and instructions.
Logistics (Supply) Support to AOSS Service: Maintains inventory of office supplies for the Department. Maintains all files and folders (both paper and electronic copies) to ensure accessibility and effectiveness of function. Maintains confidentially of all communications. Creates and submits requests to Acquisition Planning for both new contracts and continuation of existing contracts. Tracks submissions via Fund Control Points, ensuring all necessary documents are submitted to Acquisition Planning.
Interacting with Human Resources: Generates and submit memoranda for the request for vice positions. Generate form SF-52 for various personnel actions; create and maintain basic personnel folder for all Department employees. Serves as a timekeeper for the Department.
Travel & Budget: Assists staff members who go on official travel. Helps staff prepare and submit documents as required by the approval process. Incumbent is a purchase card holder and complies with all the acquisition regulations, both Federal, VA and local to include 8A, small business, Javits Wagner O-Day Act, and mandatory sources. Makes individual purchases not exceeding $3500.00 according to purchase card holder guidelines. Reconciles purchase card charges within the established time limits.
