The program specialist provides direct support to the academic mission of VA San Diego Health Care System (VASDHS). Assists the GME Education Specialist, to assure that VA appointment, institutional orientation and separation of trainees are within regulations of VA, affiliates and accrediting agencies. Performs
internal audits on the TQCVLs submitted by the 90 VASDHS affiliates to assure that programs have correct information on file. Assists with management of the VASDHS trainee database. Monitors TMS to determine training completion of Mandatory Training for Trainees. Serves as one of the primary contact people for on-boarding of medical students and allied health trainees, and monitors completion of forms for Fingerprinting, HR clearance, PIV badge issuance, Windows account, and SharePoint access. Serves as the point of contact for completion of affiliation and sharing agreements for all programs that send medical or dental students or residents, or associated health trainees to VASDHS for educational purposes.
Establishes and maintains business relationships with affiliating institutions, state and federal agencies. Serves as the recognized authority in this analysis and makes recommendations to the GME Program Analyst and to the ACOS/E for renewal or termination of these agreements.
Manages the budget dedicated to providing compensation to GME trainees for night shifts, as directed by the affiliate contract.
Prepares comprehensive after-action reports, including recommendations to improve coordination, planning, administration and management. Identifies problem areas and works with site directors and program directors to resolve issues that compromise the clinical educational environment and for potential incorporation into curriculum planning.
