Provides expert assistance with a broad scope of secretarial, clerical, computer & administrative management duties and responsibilities to ensure an efficient, effectively run organization. Scope of responsibility includes fiscal, procurement, personnel, time & attendance, travel, acquisitions, security, and editorial tasks. Works independently and as part of a team to develop and implement ways to improve the work flow and services provided to internal and external customers. Monitors work flows to manage numerous administrative deadlines. Serves as point of contact (POC) for Timekeeping, administrative programs and Travel System. Serves as Purchase Cardholder. Serves as expert in training administrative and Lab staff on a large range of administrative subjects. Reviews administrative documents and correspondence checking for errors in composition and policy. Assist in drafting new administrative policies to enhance Division needs.
Duties of this position include, but are not limited to, the following:
• Administering Time and Attendance;
• Arranging Travel;
• Interacting directly with Division Chief, Administrative Officer, Executive Officer, Senior Staff;
• Managing and tracking controlled correspondence;
• Arranging meetings;
• Purchasing/procuring office supplies, equipment and services;
• Preparing/reviewing documents, reports and correspondence;
• Establishing and/or implementing new office procedures;
• Handling all aspects of Property Management;
• Administer and assist lab staff with automated computer systems.
