This position is located in the Joint Force Headquarters, Detachment (DET). The purpose of the position is to provide technical and administrative assistance for programs within the Administrative Officer's (AO) area of responsibility. Advises of systematic strengths and weaknesses of the DET admin procedures. Drafts monthly, annual, mid-year and other special reports for CAO approval and submission to the Chief of Staff. Assists the JFHQ DET with planning and coordination of the Organizational Inspection Program. Coordinates draft staff policy memo's for Detachment PSNCO prior to submission for final review and approval. Provides information, explains the application of regulations, command policies and resolves problems with unit personnel as they relate to administrative functions. Prepares and reviews outgoing correspondence for proper format and policy and procedural adherence. Maintains office files of correspondence, directives, regulations and other information to include sharepoint files. Provides control of all-classified documents for the Command Administrative Office. Insures that documents are properly logged and safeguarded. Monitor requests for reductions, transfers, and discharges using the MILPO orders system. Assist in updating SIDPERS and RCASweb with Soldier APFT and Height Weight information. Assist in monitoring personnel iPerm batch processing by reviewing the State 0440 and 0880 reports. Input and monitor extension by processing the documentation utilizing SMMS. Coordinate with the unit retention to ensure that Soldiers are assigned a sponsor upon assignment to JFHQ. Assist in processing request for AFTP, RMP, sell leave (AGR pay request must be process thru HRO). Assist in preparing and processing requests for transfer or reassignment in SIDPERS and SIB-X upon receipt from the Senior Personnel NCO. Prepares and requests for identification tags, personnel processing, and unit administration. Prepares and processes requests for transfer or reassignment. Maintains and update officer and enlisted personnel records. Experience with IPERMS and SIDPERS are critical. Uses written notes, drafts, verbal instructions, and/or other sources to prepare copy. Prepares copy in proper format in compliance with prescribed correspondence directives, to include authorized abbreviations. Proofreads typed material against source documents. Assembles final product for review, signature, authentication, or other dispositions. Greets office visitors and directs to proper destinations. Answers telephone and records telephone messages. Picks up and delivers mail to postal facility. Opens, sorts, routes incoming mail, and messages to appropriate department. Determines proper functional files and prepares file labels and guides. Files documents in accordance with Army Records Information Management System (ARIMS) file system.
Performs other duties as assigned.
MILITARY REQUIREMENTS:
Compatible military grade and assignment required prior to the effective date of placement. This is an excepted service position that requires membership in a compatible military assignment in the employing state's National Guard. Compatible Military Assignments: Selectee must be a member of the Arkansas Army National Guard and be assigned to a compatible military position in a unit supported by AO in Military Occupational Specialty (MOS) 42A. Must become compatible within 12 months of appointment.
IMPORTANT NOTES (AS APPLICABLE): Upon selection for this position, individual must possess or initiate a Secret Security Clearance background investigation. A favorable determination based upon investigative results is mandatory for this position. Failure to meet these requirements will result in termination of employment. A pre-placement physical is required if not already current. Upon selection, must complete mandatory Full-Time Support (FTS) Training at the Professional Education Center (PEC) within six months of assignment (if applicable, training will be coordinated by the supervisor). Individual must meet all military requirements of the position without creating a grade inversion, as determined by the Human Resources Office (HRO). Technicians will not be militarily senior to their full-time supervisor or wage leader (Grade Inversion). Selectee may be subject to uncommon duties, rotational shift assignments and overtime duties.
