Coordinates and performs a wide variety of clerical/administrative duties that may include any combination of the following: typing a variety of routine material regularly used in day to day operation, answering telephones, filing, photocopying, faxing, computer entry, mail sorting, etc.
Assist Center Director and/or Assistant in coordinating activities, preparing award certificates, updating reports, typing and preparing statistical data sheets, etc. Provides information to parents regarding the operations and fee structure, entry requirements, waiting lists, etc., and may provide parent tours of the facility, handling and resolving parent concerns, referring difficult situations to superiors, scheduling classroom staff substitutes; maintaining classroom attendance records and controlling files of CDC program participants. Maintains official electronic training logs. Proofreads all prepared correspondence, and checks for completeness and conformance to applicable instructions and regulations. Facilitates methods for automating reports and correspondence. Uses a personal computer to transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows and presentations. May perform support functions such as gathering statistical data; monitoring and; maintaining stock of training supplies, making arrangements for special training events; collecting and conducting briefs, presentations and training sessions; monitoring and distributing paperwork.
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher level supervisor or proper point of contact for help when problems arise.
Adheres to safety regulations and standards. Uses required safety equipment, and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor. Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Perform other related duties as assigned. (Note: Position involves frequent work interruptions and incumbent is expected to manage priorities, make adjustments without direction, and ensure office continuity in absence of Director/Assistant.)
EVALUATIONS:
One to two years of practical experience that demonstrates knowledge and skill to perform general clerical duties such as: answering telephones, filing, photocopying, faxing, computer entry, mail sorting, typing, working independently with various computer software for word processing, spreadsheet and graphic programs. Experience or potential to deal in problem solving situations as they relate to customer service and satisfaction. Ability to communicate orally and in writing.
