Processes incoming mail to include special delivery from FedEx, USPS, DHL, e-mail, etc. Mail consists of correspondence, medical and legal reports, medical study films, x-rays, etc. Proper processing of mail includes query of the Document Imaging Workflow System (DIWS) and other databases to determine proper routing. Prompt delivery of mail requires personally delivering to various places within the division. Monitors film library for completed cases. Hard copy records and/or films may be returned to airman or sent to other offices. All mail processing related duties are independently performed within set timeline.
Independently analyzes correspondence and medical studies and compiles incoming correspondence, reports, films, etc., to determine appropriateness, acceptability, and completeness in accordance with training manual; special issuance authorization letters; and supervisor, examiner, and staff physician guidance. Unnecessary reports and/or studies are purged. Reviews airmen electronic and hard copy records, performs appropriate file maintenance (updates/corrections) of content, event date, and report order in accordance with training manual and examiner determinations. Independently determines if additional data is required and initiates contact with appropriate external sources to gather necessary reports before forwarding for final examiner/physician evaluation; may contact airman, AME, or medical facility by phone, fax, or mail. Performs medical coding on all Initial Appeals cases, codes other cases when appropriate.
Merges records for applicants that have more than one record in the system, reviewing the applications to determine if the case needs further review due to a disqualifying condition and/or use of medication. Processes applications to determine which applications are voids, blank backs or incomplete and obtains all required information to ensure the application is entered correctly into DIWS. Evaluates ATC applications to determine if the applicant is solely ATC or an ATC applicant with pilot hours then routes to the appropriate office for action.
Creates, maintains, and updates data pertaining to the DIWS and other databases, some with established timelines. This includes adding, deleting, and updating path codes, updating demographic data, correcting scanned document categories, and notes.
Initiates, receives, and replies to telephone calls, e-mail, fax, and in-office requests for information pertaining to all areas of medical certification. Performs all duties related to the assembling and maintaining of electronic and hard copy case records. Creates and updates hard copy records with pathology index numbers and tracking information, assigns pathology index numbers pathology codes. Searches for hard copy records, hard copy reports, films, tracings, and miscellaneous records within the division.
Attends Federal Air Surgeon's cardiology panel as clerical assistant. Prepares hard copy case for review. Assists visiting Cardiology Panel members in case review. Uses DIWS to monitor AMCD Medical Officers and Panelists in comprehensive group review and determination of cases. Performs miscellaneous clerical duties. Compiles various reports requested by Quality Assurance Examiner and/or section supervisor. All routine duties and special assignments are independently performed within given timeline in accordance with applicable guidelines and unmonitored until final product. Work issues are referred to the supervisor or examiners for guidance. As business processes require change, will assist in recommending, developing, and implementing solutions.
