The Venue Operations Coordinator (VOC) supports the Venue General Manager (VGM) with the daily operations and control of the Sonoran Pueblo Events Center and is responsible for the facility in the VGM’s absence. The VOC ensures that World Class Customer Service is being delivered to all guests and that all procedures and policies established are being followed at all times.
Responsibilities (include but are not limited to):
Assures guest satisfaction by resolving service failures and other customer issues in a timely fashion.
Supervises bar operations within the facility, and maintains proper controls to ensure profitability and guest experience. Works with the VGM to establish par levels for bar inventory and supplies and reviews bar stock to ensure those bars and supplies are stocked. Advises VGM of damages, out-of-stock and/or slow moving merchandise.
Provides information concerning services, prices, dress codes, standard of behavior, and special events. May meet with clients to discusses requirements for events such as date, number of guests, occasion, and explains services offered, i.e., room, decorations, menu, entertainment, etc. Assists in planning and scheduling daily service menus for activities and events.
Prepares event spaces as contracted with the required arrangement of tables, chairs, audio visual or other amenities. Responsible for the thematic decoration of rooms when not arranged by the client. Monitors events being held in the facility to ensure that all contracted services are being delivered.
May open and close the facility.
Responsible for the issue, receipt, safekeeping, deposit and accountability of funds. Makes unscheduled cash counts to ensure register accuracy. Operates a cash register, receives payments, makes change, bags or wraps merchandise, approves refunds and voided transactions and completes related sales records.
Prepares contracts for private functions, using established costs. Receives and checks in product/supply shipments from vendors to ensure accuracy. Assists with monthly inventory of product.
Maintains and enforces security of funds, merchandise, supplies, equipment and property in accordance with policies and procedures.
As necessary, seeks assistance from military police to control unacceptable behavior.
Prepares client correspondence and events contracts and obtains client signatures on contracts. Maintains private party logbook and contract files. Follows up with client evaluation of services rendered.
Completes daily and monthly financial reports and daily cost of goods and labor. Prepares reports of significant occurrences during the shift.
Inspects and secures facility at the end of the shift and ensures proper storage of assets.
Assists in preparing work schedules, assigning work, and conducting training. May provide recommendations for employee performance appraisals, promotions and disciplinary actions.
Identifies requirements and initiates requests for additional resources including personnel, overtime, equipment, supplies to ensure success in meeting goals and objectives.
Assesses and revises policies and procedures as needed to find ways to improve quality, timeliness, and efficiency of work.
May perform general housekeeping duties such as cleaning or dusting of fixtures, merchandise, and facility.
Operates a personal computer (PC) and peripheral equipment to produce a variety of civilian and military correspondence, spreadsheets, charts, reports and graphs, using a wide variety of software programs.
EVALUATIONS:
At least two (2) years’ experience demonstrating knowledge of hospitality, catering, restaurant and business operations. Familiarity with cash handling procedures and sales operations. Ability to communicate in English both orally and in writing, and to provide work direction to other employees. Must be available for nights, weekends, special events and some holidays. Must be a minimum of 21 years of age. Computer literate with above average skills in Microsoft Office.
Desired Qualifications: Knowledge and understanding of catering practices. Skills necessary to assist customers in planning party functions. Ability to plan, organize and coordinate functions to provide the best in quality service to patrons, with a personal dedication to complete customer satisfaction. Ability to carry out responsibilities in an independent manner, working under pressure with limited supervision. Ability to prepare reports and complete simple contractual arrangements. Skill to deal courteously and effectively with customers, employees and management.
Physical Effort: Must walk or stand for prolonged periods of time. Frequent light to moderate lifting, carrying, pushing and pulling. Lifts and carries objects up to 45 lbs. independently and objects over 45 lbs. with assistance. Uses dolly to transport beer kegs.
Working Conditions: Works predominantly inside with adequate lighting, heat, and ventilation, but some outside work may be required.
