Provides administrative assistance to the Family Advocacy/Clinical Manager and Transition Assistance Manager for the Fleet and Family Service Center in the Fleet and Family Support Center (FFSC). Fleet and Family Support Program (FFSP) is the Navy's primary agency for the delivery of an array of human services intended to enhance the stability and self sufficiency of individuals and families, resulting in increased operational readiness. All FFSP direct services are provided by the regional storefronts, and they fall into three main categories: Career/Retention, Deployment/Readiness, and Crisis Response. Diverse methods for delivering services include providing information and referral, educational instruction or training and professional counseling. The primary purpose of this position is to provide a wide range of administrative support and assistance that is in direct support of professional counselors performing clinical counseling and Family Advocacy Program (FAP) case management that are part of the Counseling and Advocacy Program (CAP) and the New Parent staff within the FFSC.
Additionally, the incumbent performs a variety of other administrative/office automation duties for other related programs under the Transition Assistance Management Program (TAMP).
A.Major CAP Duties: (50%)
Provides administrative support for the Clinical Counseling, New Parent and Family Advocacy programs. Attends meetings, takes notes and generates documents to assist Counseling, New Parent and Advocacy programs. Maintains suspense log on all correspondence and action items and follows up to ensure a timely reply or action. Provides general technical & administrative support at/for CAP briefs and presentations. Prepares Naval correspondence and deliver for proper signature.
B. Major TAMP Duties: (25%)
Provides administrative support to the Transition Assistance Management Program. Schedules appointments for the Veterans Administrative Representative. Obtains Verification of Military Education and Training (VMETs) for Active Duty, Separated and Retired Military Personnel. Collects, copies and distributes form DD2648s. Assists with monthly and quarterly reports for the Department of Labor. Provides administrative support to the Spouse Employment Assistance Program. Makes follow-up calls to clients regarding employment search. Assists clients in the operation of copier, telefax, and computer equipment/software available for official use in the Resource Center.
C. Combined Administrative Assistant Office Automation duties: (25 %)
Uses MS Excel and Access to tract program data.Uses MS Power Point and Publisher for presentations and briefs. Maintains documents in electronic files for easy retrieval. Creates/maintains a database for program statistical tracking. Makes backup copies of stored data as appropriate. Provides inputs for Plan of the Week (POW), Tester and Electronic Marquee Edits Naval Correspondence and deliver for proper signature. Receives visitors and telephone calls to the office, determines the nature of requests and directs callers to appropriate staff, or personally provides the information desired when routine or procedural matters of the office are involved. Uses diplomacy and tact in dealing with other agency staff and when responding to calls from clients in stressful and emotional situations. Takes requests for appointments with the supervisor and other staff, as needed. Checks on their availability and confirms appointments. Reschedules appointments upon request of supervisor or staff member.
Knowledge of the Counseling/Advocacy and Transition programs as they relate to the clerical and administrative functions. Knowledge of correspondence requirements to ensure proper grammar, spelling and punctuation, and to review documents for conformance with Navy formats and procedural requirements. Knowledge of Microsoft Office software such as: Excel, Word, PowerPoint, and Outlook.
Special Requirement:
In the case of emergency situations involving military families, selected individual may be on a twenty-four hour, seven-day a week, on-call status. Situation will be interpreted by higher authority as to determination of an emergency but in most cases, would be natural disaster or disaster at sea to ships and/or planes.
