F-Band Duties: The incumbent will perform staff work with less oversight In support of several airport programs and projects. The Incumbent will work with professional andtechnical staff In accomplishing administrative and functional tasks related to the Airport Improvement Program. Utilizes a practical knowledge of general office procedures as well as program and management analysis support skills to perform tasks that may involve managing office automation, budgeting, training, purchasing, supply management, human resource management and provides staff support In each of these areas. The incumbent may work with more experienced professionals to accomplish certain tasks, and work may be periodically reviewed to ensure accuracy and quality.
The incumbent will also provide a broad range of administrative duties and program support, which includes receiving and screening telephones calls and visitors, records management and time and attendance. Incumbent also makes travel arrangements, reviews, proofreads, formats, and edits complex written documents and a variety of correspondence for the office. This correspondence may include response to elected officials, stakeholders, Freedom of Information Act requests, etc.
Receives visitors and phone calls to theoffice, in accordance with facility security procedures. Provides administrative support to ADO staff including word processing of documents. some of which require complex formatting, letters, memorandums, or reports according to policies and procedures; ensures proper grammar. sentence structure and spelling; maintains office filing systems, including filing documents and sending and retrieving files from off-site storage facilities; maintains office document library; develops and updates office letter templates.
Tracks and prepares controlled correspondence including Freedom of Information Act inquiries and congressional letters. Prepares project folders and files in accordance with latest Airport Improvement Program Grants Management criteria. Assures project files meet the intent of the Office of Inspector General's recent audit of AIP grant oversight. Tracks project status in automated system of federal grants and audits programs.
Prepares quarterly and annual program status reports. Reviews and processes travel arrangements for ADO employees. Assists with modifying and maintaining records in automated systems for tracking and reconciling expenditures of funds. Assists with personnel management functions such as, pay and leave administration. Serves as timekeeper for the ADO. Assists with both internal and out-of-agency training requests and preparation of employee training recommendations for the ADO Manager. May serve as personal property inventory coordinator. Requisitions office supplies, equipment and publications. Performs other duties as signed.
E-Band Duties: Same duties as listed above but with more than normal supervision.
Specialized Experience:
To qualify at the FV-E level, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-D, FG/GS3-6 in the Federal Service. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to successfully perform the duties of that position.
Specialized experience may include but not limited to: Experience which demonstrates the ability to maintain records; monitor programs and identify trends; apply established guidelines; compile data; prepare correspondence, reports and presentations; and assist higher level employees in evaluating programs. Proficiency in standard business software, e.g., Microsoft Word, Excel, Powerpoint is required.
To qualify at the FV-F level, you must demonstrate in your application that you possess at least one year of specialized experience equivalent to FV-E, FG/GS-7/8 in the Federal Service. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position.
Specialized experience may include but not limited to: Skills in planning and managing the office's daily administrative functions, maintaining automated systems to record, reconcile, validate, and track data; identifying and resolving discrepancies; performing various analytical studies; interpreting and providing guidance; and performing multiple and varying assignments in the areas of financial support, personnel matters, personal property, travel administration, and other office programs.
