The incumbent serves as Operations Section Supervisor at the Fort Meade VA Medical Center facility of the VA Black Hills Health Care System (VABHHCS). In this capacity, the incumbent supervises the File Room and Switchboard operations at the Fort Meade VAMC and collaborates for coverage with the Operations Supervisor at the Hot Springs VA Medical Center facility. The incumbent serves as the backup facilitator for transcription upload and dictation processes, including liaison with the Contractor for any dictation or transcription issues, and working with the designated Contracting Officer Representative to facilitate resolution of issues. Incumbent provides direct supervision to employees performing a variety of duties supporting the Operations Section under the Health Information Management Service (HIMS) of the Health Administration Service at VABHHCS. This responsibility includes development of performance standards, writing position descriptions, evaluating work performance, counseling of employees whose performance is marginal or unsatisfactory, initiating disciplinary actions when necessary. Hears and resolves employee issues and concerns.Incumbent monitors productivity, productivity standards, participates and develops acceptable productivity levels and writes justifications for staffing levels based on workload and productivity. Initiates recruitment actions, interviews and selects new employees.
Incumbent plans work to be accomplished; sets goals; assigns work based on priorities; and provides training on work and administrative matters. Conducts quality assurance activities/reviews on image integration, record maintenance, mail and telephone switchboard processes. Functions as the subject matter expert and liaison/resource to administrative and clinical staff regarding activities for requesting, follow up, and processing. Conducts various program support activities to include acting as alternate for dictation and transcription functions, Service level sponsor for the PIV card management process, completion of designated reports, participation in process improvement initiatives, monitors equipment maintenance and advises when necessary for replacement or upgrade.
