We are currently seeking a dynamic leader for our Program Support Assistant (OA) position. This position is located in the Education Service, VA Black Hills Health Care System, and reports to the Director of Education/DLO. The incumbent provides program support and coordination for the Graduate Medical Education (GME) program. Major Duties include but not limited to, Performs administrative and coordination duties for the Graduate Medical Education program. This requires a thorough knowledge of all education functions and of the GME program. Gathers, compiles and analyzes required information for the GME staff in connection with projects on which he/she is working. Acts as a liaison providing accurate advice on programs, procedures, reports, requirements and other matters necessary to implement the GME program policies, directives and instruction. Receives, schedules, refers, and contacts members of the staff and persons outside the agency ranging from other educational entities to the general public. Receives telephone calls and visitors, referring them to staff members as appropriate, personally handling many requests for information. Processes incoming and outgoing Graduate Medical Education program materials including correspondence, reports, memoranda, and other forms of written communication. Prepares recurring reports. Develops standard or form letters and replies to inquiries. Compiles necessary information from various sources as requested for inclusion in organizational reports. Distributes mail to assigned education staff. Provides program support functions for the Graduate Medical Education program. This includes such support work as collection, completion, and/or tracking of data and program information. Coordinates conferences/meetings/events sponsored by the Graduate Medical Education program making necessary arrangements for conference rooms, materials, refreshments, etc. Compiles materials for the conference/meeting/event, notifies participants of topics, and provides all logistical support for successful event.
Serves as recorder as needed for meetings. Arranges the logistics for routine and special meetings. Transcribes notes, distributes minutes and independently notes and initiates follow-up on necessary action arising from these meetings.

NOTE: This is a TERM appointment not-to-exceed 3 years. Term appointments are non-status, nonpermanent appointments of limited duration (more than 1 year but no more than 4 total). Term employees are eligible to earn leave and generally have the same benefits as permanent employees including health and life insurance, within-grade increases and Federal Employees Retirement System and Thrift Savings Plan coverage. Term appointments may be extended without further competition (up to the 4 year maximum). The appointment to a Term position does not confer eligibility for promotion or reassignment to other positions or the ability to be non-competitively converted to permanent employment.
Physical Requirements:
The work is sedentary. Typically, the employee may sit comfortably to do the work. However, there may be some walking standing, bending, and carrying of light items like papers or books. No special physical demands are required to perform the work.
Time-in-grade: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For a GS-05 position you must have served 52 weeks at the GS-04 level.

Typing Proficiency: This position requires the ability to type 40 WPM.
Specialized Experience: You must have one (1) year of specialized experience that equipped you with the particular knowledge, skills and abilities to perform the duties of Program Support Assistant successfully that is equivalent to the next lower grade level in Federal service. General experience would include but not be limited to: routine clerical, typing, copying, filing, and electronic record maintenance; ensures correct format, grammar, spelling, punctuation, appearance, and assembles reports and correspondence.
