Responsible for the administrative process of planning, coordinating, and executing club events and special activities for the Club Complex. Assists management by recommending membership programs and entertainment.
Gathers specific information from necessary sources for Club Manager review. Determines event/program layout, decorations, entertainment, etc. Assists in analyzing the activity requirement and assists in deciding location and types of services to be provided. Recommends food and beverage options to management. Uses various customer demographics to plan and execute club programs. Ensures that proper regulations and directives are followed in the planning and execution of the events and programs. Coordinates the staffing and service requirements, meeting with activity supervisors to ensure all pertinent parties are involved. Works closely with Catering to ensure that Club rooms or events do not conflict with each other. Provides the Catering Office necessary information concerning food, beverage, server, and set-up requirements, about the activity, program, or event. Recommends to the Club Manager a budget for each event or program. Assists Club Management in arranging for table set-ups, procurement and decorations, such as flowers, furniture, china, silverware, candles, glassware, etc., required for functions/events/programs. Inspects final arrangements for functions to make certain that all contractual arrangements are met in so far as the club is concerned. Ensures necessary arrangements are made concerning admissions cashier, duty manager, and clean up staff.
May be required to Emcee Club Events/Programs, and should have a knowledge of Audio-Visual equipment to support the events. Provides necessary input for Marketing and Advertising requests. Must continuously review club publicity for accuracy, and to keep current.
Recommends to the Club Manager a forecast of Club Events at least 3 months in advance to provide sufficient time for planning and advertising the programs and activities. Must be able to produce a variety of basic signs, charts, calendars, fliers, menus, and other graphic materials for advertising and marketing for informational purposes. Coordinates commercial sponsorship requests with the Marketing coordinator. Provides an Action Plan and an After Action Report for each event. May be required to handle cash receipts and secure building assets as necessary.
