    Summary

    This position is part of the R5-Office of the Regional Director. As a Secretary (OA) you will be responsible for providing administrative support to the Regional Director and Deputy Regional Director.

    Responsibilities

    Duties include, but are not limited to:

    *Plans, coordinates, and directs the management and the administration of the Regional Director's staff.
    Assists Regional Director and Deputy Regional Director in their efforts to provides oral and written orders, instructions, and assignments to subordinates.
    *Analyzes memorandums or reports and prepares concise summaries for supervisors.
    *Plans numerous and changeable itineraries and commits travel arrangements for the Regional Director, Deputy Regional Director, and Chief of Leadership and Employee Development.
    *Prepares necessary travel authorizations and vouchers.
    *Maintains a complicated and changeable computerized calendar for the Regional Director/Deputy Regional Director.
    *Provides training and oversight to Regional secretarial and clerical staff in offices throughout the region, to ensure a smooth and timely flow of work.
    *Assumes necessary meeting and conference arrangements for visiting Regional and Washington-based Department and Service staff.
    *Actively participates in Regional meetings and records, as required, documentation of information conveyed, actions taken, decisions made, and/or assignments given. Prepares, edits, and distributes meeting notes.
    *Reviews all incoming Regional Office mail and directs to the appropriate Assistant Regional Director, supervisor, and/or field station for action.
    *Provides guidance to lead secretaries in establishing internal methods fortracking regional controlled correspondence.
