    Summary

    This is an opportunity under the Internship Program component of the Pathways Programs. The Internship Program provides students enrolled in high schools, colleges, trade schools and other qualifying educational institutions with paid opportunities to work in agencies and explore Federal careers while completing their education. Veteran's Preference will be applied in filling positions under the Pathways Programs.

    Responsibilities

    The primary purposes of this position are to serve as confidential personal assistant to the Division Director, to support the BD senior management staff by conducting research and analysis on various subjects, to provide administrative and logistical support for management and business activities of the division, and to manage the day-to-day operations and activities of the division.  Specific duties include:

    Research and Analytical Support (45%)

    • Conducts research and analyzes information in the NSF Strategic Plan and BFA planning material as they pertain to BD business activities and develops summaries and recommendations for the division director and senior staff regarding changes in business practices. Produces reports and analytical products to support BD management decision making.
    • Assists with solicitations and Dear Colleague Letters reviews to determine budgetary impact in support of Branch activities.
    • Identifies and implements technology solutions to improve efficiencies and support the work of the Division.
    • Reviews division administrative processes, practices, and procedures for consistency with BFA and NSF guidelines, and recommends or takes action on changes that may be required.
    • Participates with BD staff in conducting periodic studies and reviews to evaluate BD internal policies and operating procedures for efficiency and consistency with BFA and NSF's administrative polices and office procedures; develops recommendations to ensure compliance with BFA and NSF guidance; and develops, implements, and reviews revised policies and operational procedures to evaluate effectiveness in supporting substantive BD administrative objectives and support functions.
    • Reviews/Prepares responses and documents that sensitive or of high priority (e.g., for the National Science Board, OMB, Congress, BFA's Advisory Committee (AC/B&O), and other high-level briefings).
    • Logs and tracks all incoming and outgoing clearance actions. Ensures proper assembly of material, formatting, routing, and filing of actions. 

    Administrative and Logistical Support (55%) 

    Serves as a confidential assistant to the division/deputy directors and handles confidential and sensitive information with discretion.

    • Works closely with the division/deputy directors and division management in planning and coordinating complex business activities.
    • Drafts and sends BD data calls to Directorates/Offices as requested, tracks receipt and ensures all data is formatted and prepared correctly for BD submission.
    • Schedules meetings, prepares and distributes meeting materials, e.g. notices, agendas and other supporting documentation, for meetings called by the division/deputy directors and division management.
    • Assists with solicitations and Dear Colleague Letters reviews to determine budgetary impact in support of Branch activities.
    • Identifies and implements technology solutions to improve efficiencies and support the work of the Division.
    • Drafts and sends BD data calls to Directorates/Offices as requested, tracks receipt and ensures all data is formatted and prepared correctly for BD submission.
    • Maintains division-sponsored e-mail lists and drive access requests/permissions.
    • Relieves division director of routine administrative matters.
    • Plans, monitors, and coordinates the calendar for the division/deputy directors, providing pre-meeting updates and briefings as necessary.
    • Maintains division-sponsored e-mail lists and drive access requests/permissions.
    • Reviews, prepares, and provides guidance to division staff on administrative and logistical support matters, including correspondence.
    • Prepares all travel arrangements for division director and senior staff.
    • Establishes and maintains a variety of files and records that are necessary for the operation of the division.
