    Summary

    This position is located within the Security Hazardous Martials Safety (ASH) organization, Office of Business and Mission Services (AXM). Serves as a direct report to the Manager, Workforce Services Division (AXM-300). As such, the incumbent will perform a combination of routine, multiple, varying, and complex assignments under the minimal directions of the Manager, Workforce Services Division, AXM-300.

    Responsibilities

    Provide advice, guidance, and services related to the development, coordination and execution of the office administrative programs, operational matters, progress and deadlines. Applies experience and knowledge in support of the onsite ASH senior leadership and performs a wide range of duties that require close association with and the full knowledge of the Deputy. This may include sensitive and confidential personnel matters such as performance, Freedom of Information Act, and Privacy Act issue or responses.

    Coordinates position management with the Office of National Security Programs and incident Response (AXE) managers to evaluate and align staff for AXE headquarters program offices, to include working with automated tools. Works with management to identify to HR, positions eligible for targeted recruitment to increase hiring persons with targeted disabilities, underrepresented populations, and developmental positions to establish meaningful succession planning. Manages the full scopes of AXM’s responsibilities in regards to the following functions in consonance with HR policy division: labor distribution reporting (LDR), Alternative Work Schedule (AWS), Telework, Permanent Change in Station (PCS) moves, performance management, and recognitions.

    Manages, facilitates, and leads AXE’s headquarters job applicant interview process to include constructing interview packages, scheduling interviews, responding to applicant requests and inquires, as well as briefing panel members on the interview process. Manages AXE’s on boarding process of new employees. Assists employees with questions on time and attendance issues as well as use the CASTLE system. Runs reports and performs analysis in CASTLE, ORACLE Business Intelligence (OBIEE), and the Federal Personnel Payroll System (FPPS).

    Represent the organization on current or new agency initiatives such as Employee Engagement, Organization Management, Promoting Diversity and Inclusion, and other similar program. Informs leaders about all aspects of these functions and develops a plan to keep all senior leaders informed.

    Coordinate the Department of Transportation, Federal Aviation Administration, National ASH Awards and Recognition programs, and special emphasis programs for the organization. Responsible for the development of the organizational policy and implementation guidance, coordinating and soliciting nominations, proof reading and editing award submissions, ceremony logistics, printing, device procurement and budget formulation for the ceremony event.

    Established policies/procedures provide guidance for most assignments, but allow considerable discretion to select the most appropriate approach or to develop new approaches. Interpret internal and external policies and extrapolation from precedents. Performs a full range of administrative functions, including travel review, management information systems, and procurement. Collect and analyze data, conduct research, identify problems and recommend solutions for responsible programs.

    Coordinate staff assignment across the organization and work effectively to meet deadlines. Perform ad hoc administrative duties and projects, prepare administrative report, coordinate meetings, workgroup sessions, and training as appropriate, and perform a variety of special assignments. Utilize planning tools to track the organization’s activities status for timely reporting of action items. Work with analyst across the organization and in other FAA lines of business to develop, coordinate, monitor, and report on corporate activities. Draft messages and prepare correspondence in response to technical requests. Use diplomacy in coordinating with internal and external customers in response to inquiries.

    Adapts a variety of guidelines, manuals, and reference materials in accomplishing tasks, using judgement and discretion in deciding the most appropriate approach to use or in developing a new approach.

    Occasional travel - The job may require travel from time- to-time, but not on a regular basis. The travel may be for training or other work-related duties.
