Title 5 Excepted Service, Non-uniformed Position with the Minnesota National Guard
An Administrative Support Assistant (OA), GS-0303-07, Directly assists the superintendent/director in the management of all administrative support program functions. Administers programs and serves as the primary source of information. The incumbent is responsible for the preparation, maintenance, and deposition of required administrative reports and other correspondence. Assists superintendent/director in accomplishing all necessary internal operations to include administrative training, security, development of organizational operating instructions and regulations, and personnel assistance. Acts as the point of contact for all newly assigned personnel; orients them regarding the basic functions of the organization, introduces them to key personnel and schedules their initial training/orientation requirements, prepares and routes forms required for all computer account accesses. Serves as the resident subject matter expert for all mandated administrative support programs. Ensures program compliance with regulations, laws, policies, and PMEL superintendent/director directives. Responsible for programs such as Awards/Recognition Program Manager, Government Purchase Card (GPC) Program, Government Travel Card (GTC) Program, Organizational Defense Travel System (DTS) Administrator, Records Custodian (RC)(Office Files Manager), Safety Program, Supply Program, and the Training Program, etc. and assigned additional such as, Antiterrorism Representative, Automated Data Processing Equipment (ADPE) accounts manager, Cybersecurity Liaison, Resource Adviser (RA), Security Manager, Task Management. Develops and implements procedures to track program status and maintain program health. Serves as a liaison to the civilian personnel office. Assists the superintendent/director in the performance of administrative functions associated with the supervision of civilian employees. Performs other clerical and administrative work in support of the office/organization. Develops, establishes, updates, and maintains office procedures and records/files of various types to ensure effective and efficient operation of the office. Maintains the laboratories official files in accordance with records management regulations, laws, policies, and PMEL superintendent/director instructions. Receives telephone calls and greets visitors. Ascertains the nature of the calls or visits. Based upon knowledge of the organization and its programs and operations, refers telephone calls and visitors to appropriate staff or office. Personally answers nontechnical requests for information such as status of reports, suspense dates for matters requiring compliance, and similar information readily available from files or from knowledge of the organization. Provides follow-up on requests for information. Performs other duties as assigned.
