    Summary

    The Executive Assistant provides coordination and administrative services to the Director, Deputy Directors, and immediate Director's Office staff. This includes: formulating office policy, guidelines, and procedures to maximize the efficiency of administrative support; providing leadership in the flow of staff papers, reports, analyses, and recommendations; informs leadership and immediate staff on crucial administrative matters; and managing schedules, appointments, and access to executives.

    Responsibilities

    • Monitors the implementation of initiatives for the executive staff and identifies areas where additional analysis and coordination are needed, recommending necessary action.
    • Assists in the development, quality control, and production of briefing materials. Drafts and disseminates communication on behalf of the Deputy Directors.
    • Conducts detailed planning to gather and interpret information and data for complex administrative problems, issues, and unusual circumstances and recommends effective problem-solving approaches.
    • Coordinates and reviews meeting requests from outside organizations with External Affairs and discusses recommendations for the Deputy Directors at scheduling meetings.
    • Supports scheduling meetings, and is responsible for accepting and declining on behalf of the Deputy Directors.
    • Keeps informed of the Deputy Directors' schedules and makes appointments with prior approval, in accordance with pre-agreed schedule.
    • Prepares all travel arrangements for the Deputy Directors including proposed itineraries, transportation, hotel accommodations, and vouchers. Arrangements may require extensive coordination of multiple locations within one day.
    • Supports high-level events that involve the Director and Deputies participation. Tasks may include: organizing the set-up and logistics for meetings at the Main Interior Building; and takes official notes at meetings or conferences.
