    Summary

    This position is located in the Freer Gallery of Art and the Arthur M. Sackler Gallery (F|S), Smithsonian Institution. The Galleries are devoted to the research, acquisition, exhibition, care, and management of the collections of Asian art in each museum and American art in the Freer Gallery.  S/he is a member of the executive management team. This team is responsible for developing strategy and policies, setting goals and priorities, and overseeing the day-to-day operation and affairs of F|S.

    Responsibilities

    The Deputy Director of Operations and External Affairs is responsible for setting and executing strategies and policies that will enhance Museum operations, administration, and finances. S/he advances the mission of the Museum by coordinating the planning, logistics, management and budgeting of Museum operations, administration and human resources; raising the visibility and impact of the Museum through coordinated strategies of marketing, communications and public outreach and education; and diversifying and increasing partnerships, and external sources of funding. S/he is responsible for the following:

    Serves as principal advisor to the Director on long and short-range planning for fiscal, operational, and administrative issues, including the allocation of Museum resources. Is responsible for oversight and management of all financial management activities relating to the programs and operations of the Museum and ensures development of a budget consistent with F|S mission.

    Works with the Director in formulating and presenting annual operating budgets. Develops justifications and supporting documents for budget submission, and recommends strategy for budget presentation. Sets relevant policies and assures that adequate controls are exercised so that expenditures remain within the approved budget.  

    Provides advice to the Director on aspects of fundraising related to education and public programs, digital initiatives and other areas under his/her supervision; plans, establishes and leads major fundraising initiatives with other senior staff to support the broad and ever-evolving programmatic needs of F|S. Collaborates with staff on ways to enhance donor relations, generates content for fundraising materials, and plans cultivation events.

    Oversees the production of timely performance reports for the Director's review. Monitors progress toward goals to assure that support is provided in a timely manner for individual programs and projects. Evaluates all logistic support plans for feasibility, efficiency, and economy.

    Serves as principal advisor to senior staff on HR matters. Develops and issues operating plans, procedures, and KPIs. Furnishes policy guidance and direction to subordinate supervisors. Keeps apprised of disciplinary or other employee-relations matters and takes personnel action where appropriate. Supports diversity in hiring practices, training and development; and daily supervision and review of work, performance management, leave administration, employee development, and resolution of employee/labor-relations issues.

    Oversees and coordinates the activities of Marketing and Communications, Digital Media and Technology. In consultation with the Deputy Director for Collections and Research, directs educational and public programming to ensure that ties to the collections and exhibitions are reflected in the programming.

    Creates and markets the communications plans; working as appropriate with other Smithsonian offices. Expands the F|S digital presence by generating and executing strategies that leverage emergent digital technologies and practices in order to engage virtual and physical visitors and increase awareness and appreciation of the collections, exhibitions, and related educational programming.

    Generates an integrated set of strategies for public engagement, internal and external communication, and marketing. This includes coordination of educational programs and visitor/volunteer services in order to effect significant increases in audience and attendance, and significant improvement in the quality of the visitor experience.

    Together with the Director, the Deputy Director for Collections and Research, and the Director of Advancement, the incumbent coordinates and supports the activities of the F|S Board of Trustees.

    As part of the management team, generates and contributes to a strategy of local, national, and international collaboration with cultural and educational institutions, embassies, and agencies.

    Ensures compliance with all Smithsonian policies and directives and coordinates with central Smithsonian offices as required for congressional relations, Board of Regents matters, personnel, contracting, accounting, management and budget, facilities services, and sponsored projects.

    Reviews and assesses potential business activities, works with Smithsonian Enterprises, and provides leadership and coordination for merchandise/product development that reflects the mission and educational goals of museum collections, research or exhibits. Oversees and coordinates revenue-producing activities of the Museum shop, and activities related to facilities, safety and security.

    Explores and develops collaborative relationships with external business partners, and initiates or negotiates contractual agreements as required.

    As designated, acts as Director of the Museum in his/her absence, assuming full authority and responsibility for the overall management of the Museum.
