The incumbent serves as the Staff Assistant to the Deputy Associate Administrator for Aviation Safety, under the direction and supervision of the Aviation Safety Chief of Staff. The incumbent performs progressively more difficult assignments in support of the Deputy Associate Administrator and the AVS Executive Office. In addition to supporting the Deputy Associate and Associate Administrator, the Staff Assistant will support project needs under general instructions provided by the AVS Chief of Staff, AVS Technical Assistant and AVS Senior International Advisor.
Typical assignments may include: collects and records data/information; searches for, assembles, and summarizes information as required from files and documents as requested by or in anticipation of the Deputy Associate Administrator's needs; conducts extensive research on a combination of subjects in order to provide up-to-date information; identifies problems and presents recommendations; procures necessary office supplies and equipment through agency channels; and assists higher level professionals in day-to-day operations.
The incumbent maintains primary control over the Deputy Associate Administrator's calendar, meetings, and appointments and advises the Deputy Associate Administrator of appointments and commitments in a timely manner. He/she reconciles the Deputy Associate's calendar against the Associate Administrator's calendar on a weekly basis and, in anticipation of weekly calendar meetings; prints calendars for attendees. The incumbent also ensures meeting logistics for Video Teleconferences and phone bridge lines are arranged and set up prior to the start of the meetings. The incumbent advises individuals when appointments must be rescheduled, arranging mutually convenient times for new appointments, and informing the Deputy Associate Administrator of pending appointments, meetings, and other commitments.
The incumbent screens all calls and visitors, answering questions and completing business involving established policy or routine matters without referring people to the Deputy Associate Administrator. The incumbent reviews outgoing correspondence for spelling, typographical errors, and conformance to formats and procedural requirements. He/she makes all necessary foreign and domestic arrangements for travel, arranging schedule of visits, making transportation and hotel reservations, and preparing travel vouchers. The incumbent maintains leave and attendance and office files for the AVS Executive Office. The Deputy Associate Administrator's Staff Assistant serves as backup to the Associate Administrator's Staff Assistant when needed.
Applicants must demonstrate at least one year (52 weeks) of SPECIALIZED experience equivalent to the next lower grade/pay band FG/GS-9 or FV-F in the Federal government. Specialized experience is defined as that which has equipped the applicant with the particular knowledge, skills, and abilities required to successfully perform the duties of the position, and is typically in or directly related to the line of work of the position to be filled.
Specialized experience is defined as: managing executive's calendar with commitment authority for scheduling, making necessary travel arrangements, coordinating meetings or conference calls, and procuring necessary office supplies and equipment through agency channels; conducting research on a combination of routine and multiple subjects in order to provide up-to-date information; AND identifying problems and providing solutions/recommendations, if needed.
