The individual selected for this position will:
Manage reports, correspondence and pending matters through utilization of an automated computer system. Maintenance of Exhibits and Education Division (EED) common electronic files, including archiving and updating fiscal year budget and procurement reports is a primary responsibility. Assemble and organize facts, data, and information on programs for meetings and reports through tables and charts. This person will track image copyrights, exhibit content, EED projects, and events.
Schedule and arrange meetings for the director. Solicit agenda items and assembles background materials as needed. Take and distributes minutes at EED meetings with other CVC divisions. Screen visitors and refer matters that do not require the director’s attention to the appropriate staff member. When appropriate, provide information to visitors and callers with information from office files.
Office liaison for EED staff in obtaining identification cards, proxy card access, U. S. Capitol Police exhibit-related security access, phones, computers, etc.
Review and evaluate administrative processes and procedures to identify opportunities for improvement; make recommendations for changes to enhance efficiency and effectiveness.
Track the division’s budget execution with excel, running Financial Management System (FMS) BS01 reports. Align and verify EED budget execution FMS reports with the Business Financial Analyst and Procurement Agent’s records.
Prepare and submit procurement paperwork for minor purchases for the division, including purchases of library materials for the Exhibits Curator and document scans from the Library of Congress for exhibit rotations.
Maintain inventory of office equipment and orders supplies as needed. Arrange for replacement or repair of any equipment as required. Prepare and obtain office supply requests in coordination with CVC protocols and oversees EED requests for printed materials.
Receive, review and distribute all mail and correspondence for division staff. Coordinate with the supervisor to determine which items can be acted upon personally and refers all others to appropriate staff members. Record incoming correspondence in accordance with established guidelines for tracking correspondence. Respond to requests for information which can be handled based on readily available information about organizational functions.
Review outgoing correspondence prepared by staff for proper attachments, signatures and compliance with organizational policies. Return materials to the originator for correction of any matters which are not in compliance with correspondence policies. Record information on items requiring tracking and creates tickler files to monitor timeliness of responses. Perform filing and records management for incoming and outgoing correspondence and action items for the division.
Proficient use of PowerPoint, Adobe PDF, and Excel is necessary.
