This position is located within the Office of the Deputy Director (DD), Registra and Loan Division (DR-DLS), of the National Gallery of Art, which is responsible for maintaining and updating records on all works of art owned by or entrusted to the care of the National Gallery of Art, and for the location, condition, safety and movement of these works of art. The purpose of this position is to assist the senior Loan Officer with the processing and recording of outgoing loans of paintings, sculpture, decorative arts, works of art on paper, and other media from National Gallery of Art collections to other institutions, and for coordinating the multi-layered loan approval process.

The incumbent:
Coordinates all aspects of the loan approval process, from initial loan request receipt to multi-departmental and executive review to drafting and coordinating official NGA response.
Reviews loan requests, determines potential viability, and circulates viable requests to appropriate offices for review; interprets foreign language correspondence or arranges for translation.
Enters borrower and loan data into TMS.
Works with curators to assess the suitability of the loan request.
Ensures that necessary treatment and special technical preparations, framing, crating, and shipment scheduling proceed on time.
Distributes executed borrower agreements and related information to appropriate offices.
Prepares correspondence on a wide variety of loan concerns, including approvals and denials.
Works with the borrower and SG to obtain immunity from seizure for international loans.
Updates TMS with specific requirements and conditions of loan.
In consultation with SG, completes and prepares borrower agreements.
Conveys to borrower any special conditions regarding the objects to be lent, such as display or mounts required, treatment before loan, and special handling.
Verifies appropriate insurance values and reviews insurance coverage options and indemnity for loans.
Provides certificates of insurance.
Provides loan history reports.
Closes out loans in TMS.
Obtains completed facility reports from applicant museums; reviews, comments, and coordinates their examination and evaluation.
Maintains borrower files.
Works with others to determine courier requirements for outgoing loans.
Acts as representative of the NGA in accompanying objects to/from the Gallery and other exhibition sites domestically and internationally.
Assists borrowers with the selection of suitable long-term loans.

Physical Requirements: The majority of this work is done at a computer station during normal office hours. moderate physical mobility is required, which includes walking, lifting, stretching, stooping, and standing. The incumbent must be able to lift books, files, and boxes weighing up to twenty pounds.
