As an Administrative Clerk (OA), you will be assigned to the Administrative Division in the Sacramento office.  Duties include (but are not limited to):

·         Receives and notifies staff members of telephone calls and visitors to the office.

·         Controls access to the office and ensures that only visitors properly cleared are authorized entry.

·         Takes messages from, and gives messages to, visitors and callers when staff members are unavailable.

·         Responds to inquiries, providing general information regarding office programs.

·         Sorts and routes mail by determining subject matter and organizational designation.

·         Records, controls and processes mail which requires special handling, e.g., message forms, registered, certified, security, classified, etc.

·         Prepares outgoing material for dispatching.

·         Meters outgoing mail on a daily basis according to type of mail, e.g., regular, certified, return receipt, international, packages, etc.

·         Aids attorney’s in rush matters when incoming material is needed immediately for court.

·         Logs receipt of Federal Express and hand deliveries, and prepares and notifies appropriate staff member of receipt.

·         Maintains witness records, assists witnesses in completing forms and advises on allowable reimbursement for travel as well as the preferred methods of travel to court, and other important administrative matters.

·         Ensures postage metering machine is checked for proper amounts and that chips are installed and updated as required.

·         Safeguards checks that are not forwarded on day of receipt due to lateness of arrival.

·         Prepares timesheets, leave slips and premium pay requests for employees upon request from employee, supervisor, or Human Resources. 

·         Trains and assists employees and supervisors on how to operate the automated timekeeping system (webTA) as well as assists with any problems that they may have with the system.

·         Adheres to written and unwritten policies, regulations and procedures pertaining to time and attendance reporting to ensure compliance.
