JOB SUMMARY:

Our Mission is Caring. Army Child, Youth & School Services programs exist to support military readiness by reducing the conflict between a Soldier's mission requirements and his or her parental responsibilities.

Location: Child, Youth and School Services, Fort Buchanan Puerto Rico   

 

Work is performed at the Child,Youth and School Services (CYSS) at Fort Buchanan, Guaynabo PR.  Click here to learn more about CYSS Incumbent will oversee the administrative management of the reception area of a Child, Youth and School Services (CYSS) program. Provide administrative support including efficient recordkeeping, mail preparation, answering telephone calls, preparation of memorandums, customer transactions, leave and time and attendance records. May require shift work and/or work on rotating shifts to provide coverage on evenings, weekends, holidays, and in other situations. One year probationary period may be required. Incumbent is eligible to participate in the NAF Benefits Program (retirement,medical coverage, 401(K), annual/sick leave accrual). Completion of Installation Records Checks and health and mental assessments is a condition ofemployment.

 

Payment of PermanentChange of Station (PCS) costs is not authorized, based on a determination thata PCS move is not in the Government interest.

DUTIES:

Receives children, youth, parents,and other visitors. Answers telephones, ascertains nature of call and directs calls to appropriate staff, takes messages, or personally provides desired information. Utilizes Child and Youth Management System (CYMS) to oversee the collection, accurate accounting and reporting of funds; and to collect and maintain up-to-date statistical data for planning and reporting purposes. May utilize cash registers and calculators to compute and record transactions and to input data. Provide administrative support including typing word processing, mail preparation, copying distribution, telephone calls, and travel orders for CYSS personnel. Prepares a variety of correspondence, memorandums, briefings, and daily activity reports required for the day-to-day operation. Maintain record files statistical data and suspense system. May initiate personnel actions and assist in tracking background clearance checks for staff members. Assists in maintaining leave records, and time and attendance records. Prepares invoices, supply and equipment requests. Uses E-Mail to send and retrieve messages. Coordinates vacancies and reservations for the care program as required. Works cooperatively with Resource and Referral to track program vacancies and occupancy rates as required. Ensures risk management procedures(i.e., abuse prevention, identification, and reporting procedures; accident prevention, etc.) are followed. Monitors supplies and resources. Orders office supplies. Assists in facility key control.

Experience performing administrative duties such as those described in this vacancy. Skill in operating a manual or electric typewriter and current automation system and software (Microsoft Windows, Word, Power Point, Excel)required. Must be able to type 40 wpm. Knowledge of grammar, spelling, capitalization and punctuation and composition techniques needed to accurately type a variety of material from written sources or voice recordings. Possess the ability to communicate orally and in writing. HIGHLY PREFFERED: Knowledge of formats,forms, typing policies and common terminology of the US Army Child, Youth and School Services.

 


 

Conditions of Employment

 

1. One year probationary period maybe required upon selection.

 

2. 7. All required backgrounds checks must successfully completed and maintained.

 

8. Ability to follow oral and written in English.
