About the Agency
This position is located in the Bureau for Africa, with the incumbent serving as the personal and confidential assistant to the Deputy Assistant Administrator (DAA), coordinating all clerical and day-to-day administrative support activities required to accomplish the work of the organization and coordinating all travel by the DAA, including all associated documentation. The incumbent acts as Office Manager for the immediate office of the DAA, ensuring that policies and practices are implemented that facilitates the mission of both the DAA and the Administration. As the first point of contact for the supervisor with other organizations and the general public, the incumbent projects a professional, courteous and client-oriented image to both telephone and personal visitors to the office.
As a Secretary you will Plan and develops new methods for coordinating the administrative work of a complex organization with desperate organizational segments requiring complicated administrative controls to accomplish the work of the organization.
Exercise exclusive control over the supervisor's calendar with complete authority for time commitments. Schedules meetings and makes arrangements such as preparing agendas, notifying participants, and arranging luncheons and similar matters.
Act as office manager for the supervisor, ensuring that practices and procedures used by secretaries in subordinate organizational segments are consistent with those of the supervisor's office.
Read incoming correspondences, publications, regulations, and directives that may affect the organization.
Systematically evaluate and improve correspondence operations for an extensive organization with varying functions performed in subordinate offices.
Review documents requiring coordination by the supervisor for conformance with regulations, grammar, format and special policies of the organization.
