This position is located in Human Resources Management Service at the VA Palo Alto Healthcare System in Palo Alto, California.  As an Administrative Assistant (OA), you will be responsible for providing administrative support to the Director of HRMS and the Service.  You will assist at the HRMS reception desk, responding to a wide spectrum of HR related concerns, questions and issues.  The major duties and responsibilities include, but are not limited to, the

•    Schedules appointments and meetings for the HRMS Director;
•    Prepares correspondence following established format;
•    Reviews incoming mail, reports, inter-office memoranda, etc.;
•    Reviews outgoing correspondence and reports prepared for signature, ensuring proper format, mathematical correctness, correct grammatical content, etc.;
•    Maintains personnel files, including the creation of files for new employees and filing existing documents;
•    Takes and transcribes meeting minutes;
•    Coordinates travel arrangements;
•    Maintains the office’s operating budget and projects future needs (e.g. personnel, equipment, travel, projects, etc.); and
•    Manages the procurement of supplies and equipment for the office.

Work Schedule:  Full-Time, Monday – Friday, 8:00 am – 4:30 pm
