The Medical Support Assistant in the Alaska VA Healthcare System (AVAHS) in the Clinical Informatics Service, Tele Primary Care Clinic provides administrative support to Physicians, Physician’s Assistants, Nurses, Nurse Practitioners, dietitians, social workers and other administrative and professional staff as part of a collaborative team to provide longitudinal outpatient primary care to Veterans. Duties of this position include, but are not limited to, the following:

  • Coordinate with the patient care team to review the clinic utilization by using various reports.
  • Develop and maintain effective and efficient communication with the patient, interdisciplinary team, medical centers, and other agencies.
  • Participate in team huddles and team meetings to manage and plan patient care.
  • Set priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs.
  • Work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record.
  • Monitor pre-appointment requirements to assure readiness for patient visit/procedure.
  • Manage electronic wait list to verify and validate accuracy and resolve issues.
  • Participate in and independently following up on team huddles by sharing information and collaborating with the medical team to assure continuity of care.
  • Evaluate patient information and clinic schedule lists to determine whether patient is vested.
  • Provide ancillary clinical support to include scheduling, check-in and check-out of patients, general administrative support to include data collection, compilation, and presentation, and generating fee basis authorizations for purchased care or supporting other clinical staff that do.

Work Schedule: 6 am to 6 pm, 4 to 5 days per week including weekends, maximum of 10 hours per day, 40 hours per week.

BASIC REQUIREMENTS:   

  • U.S. citizenship. 
  • Must have Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position; or One year above high school;
  • Must be proficient in spoken and written English

Preferred Experience:

Knowledge of Current Medical Support Assistant (MSA) Practices. To be creditable, the experience must have demonstrated the knowledge, skills, and abilities associated with current MSA responsibilities. Experience satisfying this requirement may be paid/non-paid employment as a MSA.

Quality of Experience. Qualifying experience must be at a level comparable to MSA experience at the next lower grade level.

GS-6 Advanced MSA

Experience: One year of experience equivalent to the next lower grade level of GS-05.

Demonstrated Knowledge, Skills, and Abilities: Candidates must demonstrate the KSAs below:

1. Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.

2. Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.

3. Advanced knowledge of the technical health care process as it relates to access to care.

4. Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

5. Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

6. Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
