This vacancy is located in Physical Medicine and Rehabilitation Service.  Duties include, but are not limited to: 

·         Serves as the initial point-of-contact for all questions, information and problem resolution in the areas of patient appointing, ordering supplies, patient travel, files management, correspondence preparation, time and attendance, and office automation systems.

·         Participates in program planning support work such as making recommendations regarding inefficiencies ordering supplies, and inventory tracking.

·         Uses an electronic appointment system, calendar or spreadsheet software to schedule appoints and meeting by blocking appointment; transmits and receives documents and messages electronically.

·         Performs various tasks using on-line systems such as information searches on the Web.

·         Uses a variety of graphical, spreadsheet, and database software packages (e.g., Excel, Word, VSSC) to obtain statistical data from published reports.

·         Manipulates data to produce tables and charts for program management and administrative use.

·         Prepares graphics, photos/slides, and creates tables and graphs based on statistical data for use in presentations at meetings, workshops and conferences.

·         Schedules appointments for the therapists and follows internal and external appointment guidelines. 

·         Insures patients are notified of their appointments in a timely fashion using the US mail and/or phone calls and reminder calls.

·         Ensures veteran demographic and insures information is current and accurate by interviewing the patient or kin at check-in and determines eligibility for travel payments and insurance information.

·         Completes appropriate forms and directs patient to health benefits, if required.

·         Obtains appropriate patient forms and scans medical documentation into the patient’s chart

·         Schedules transportation for groups of patient on therapeutic outings into the community

·         Serves as an Assistant Service Automated Data Processing Applications Coordinator (ADPAC) for the service.

·         Provides orientation to all new employees, trains personnel in use of various computer applications and attempts initial problem resolution

·         Acts as primary timekeeper for assigned sections in PM&RS

·         Serves as a Manager/Sponsor for the department issuing the applications for the PIV, verifying, and entering in new and existing employees demographic information into the PIV system and following up once the application process is complete

 

Work schedule: Work hours are generally, from 8:00 -4:30 Mondays through Fridays.  However, on occasion, additional hours and weekend work may be required.

BASIC REQUIREMENTS:   

  • Must be a U.S. Citizen.
  • 6 months of clerical, office or other work that indicates the ability to qcquire the particular knowledge and skills needed to perform the duties of the position, OR
  • One year of Education above high school, OR
  • Equivalent combination of expereince and education are qualifying for entry level for which both education and experience are acceptable

GRADE DETERMINATIONS:  GS-6

SPECIALIZED EXPERIENCE: One (1) year of specialized experience that equipped you with the knowledge, skills and abilities to successfully perform the duties of the position.  To be creditable, the experience must have been equivalent to the GS-5 in Federal service.  Examples of qualifying experience includes, providing administrative support, problem resolution in the areas of patient appointing, ordering supplies, patient travel, files management, correspondence preparation, time and attendance, office automation, obtaining statistical data from published reports and manipulating data to produce tables and charts for program management and administrative use.  The Advanced Medical Support Assistant coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilizaiton Statistical Summary, ensures that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments.

1.    Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies and regulations.

2.    Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives.  This may include preparing reports in various formats and presenting data to various organizational levels.

3.    Advanced knowledge of the technical health care process as it relates to access to care.

4.    Advanced knowledge of managing a clinic.  This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

5.  Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

6. Advance knowledge of medical terminology due to the technical nature of language utilized by clinicians.
