Candidate of this position serves as an Administrative Staff Assistant (ASA) to the Director, Vehicle Research and Test Center (VRTC) and is responsible for performing administrative and secretarial duties for the Director and for performing certain analytical duties for VRTC. The Candidate participates in the management of the office by applying excellent working knowledge of the programs in VRTC.

The Candidate participates in the administrative activities to assure that they contribute to the successful accomplishment of the office's mission, candidate shall serve as office manager and personal assistant for the Office Director, VRTC, by participating in the management of programs and performing administrative duties. The ASA exercise control over the Office Director's appointments with authority for commitment of time; ensures that the practices and procedures used are consistent with those of the agency; on own initiative, recommends changes in administrative policies; and devises and installs office procedures and practices to be used by secretaries and clerical personnel. Based on experience and extensive knowledge of VRTC programs, objectives, resources, and overall operation, both within Vehicle Safety Research and NHTSA, the ASA assures effective and efficient operation of the office.

NHTSA is looking for an experienced Administrative Staff Assistant who is courteous and professional while they exhibit their ability to interact with other NHTSA staff, contractors, external suppliers and the general public. Knowledge of Microsoft office software is a must and the ability to type 60 words a minute, develop spread sheets and creating graphs and tables is a plus.

An Administrative Staff Assistant,

  • Provides general secretarial support for the Office Director and as appropriate for certain divisions within the Office as needed, Coordinates priority assignments from the Director to Division staff with regards to the overall needs and urgency of the matter.
  • Makes travel arrangements for the Office Director as well as other staff members as needed, coordinating airline reservations and hotels with meeting sites. Finalizes an overall itinerary to include making arrangements for meetings or conferences, overnight accommodations, and arrangements for transportation once destination is reached.
  • Prepares vouchers immediately upon return of the traveler in conformance with travel regulations.
  • Maintains travel planning records and budget.
  • Maintains time and attendance reports for the Director and staff as needed, coordinates vacation schedules, clerical support needs etc. Advises VRTC staff on any attendance records questions.
  • Prepares reports recommending new or revised approaches, which set forth possible course of action to improve management controls, increased coordination, efficiency, and economy of operation.
  • Provides general secretarial support for the Office Director and as appropriate for certain divisions within the Office as needed, Coordinates priority assignments from the Director to Division staff with regards to the overall needs and urgency of the matter.
  • Serves as the recording secretary for the VRTC safety committee.
  • Coordinates control correspondence.
  • Compiles and coordinates VRTC personnel and training request actions.

To meet the minimum qualifications for this position, you must meet the experience qualifications for the grade at which you are requesting consideration.

LEVEL To qualify, you must have at least one year of specialized experience equal or equivalent to the following:
  • Experience supporting the administrative requirements of an office by managing and maintaining personnel, financial and travel databases.
  • Experience using Microsoft Office software to compose and prepare memoranda, letters and reports per established guidelines.

  • Experience assisting COTR's with monitoring of project commitments and obligations and assisting in financial obligation reconciliations at end of fiscal year.
