The incumbent serves as a Staff Assistant in the Office of Public Affairs and has responsibility for providing a variety of support and administrative services in connection with the management of the office and coordinating with other staff to ensure all office functions are completed timely, as appropriate.

 

Receives and accurately and timely refers voluminous telephone calls involving inquiries from the media, other Federal agencies, and the public and private sectors.  Screens all telephone calls and visitor requests answering many procedural questions with personal knowledge of the office's multiple program areas, priorities, goals and objectives.

 

Initiates development of new or revised administrative policies and procedres, files and automated tracking systems necessary for efficient administrative functioning of the organization.   Serves as time and attendance coordinator and provides advice and procedural guidance on related matters.  Prepares and edits for accuracy time and attendance records for the office.

 

Serves as travel coordinator, preparing authorizations, vouchers and accompanying documents.  Maintains knowledge of travel policies and regulations.

 

Serves as property receiving specialist, maintaining accountable property records, conducting regular inventories and reconciling records, and preparing forms for lost or stolen property.

 

Provides a variety of services such as mail and records management, reproduction, preparation of orders, forms and publications management and correspondence and files management.

To qualify for the Staff Assistant you must meet at least one of the requirements as defined. 

 For the GS-9:  A. Have at least one year of specialized experience, equivalent to the GS-07 in the Federal service performing the following administrative duties:  1) researching and analyzing established administrative issues; 2) acting as a liaison with individuals and groups both inside and outside an organization regarding administrative and/or organizational matters; and 3) preparing a variety of written documents, such as staff papers, status reports or policy recommendations;  OR
B.  Have a master's or equivalent graduate degree; or 2 full years of progressively higher level graduate education leading to such a degree; or LL.B. or J.D., if related.  OR
C. Have some specialized experience as described in A, but less than one year; and have more than one year but less than two years of education as described in B.  Compute the percentage of the requirements met, and the total is at least 100%. (To compute the percentage, divide your total months of qualifying experience by 12. Then divide your semester hours of graduate education beyond the first year by 18. Add the two percentages. The total percentage must equal at least 100 percent to qualify).

  

Time-in-Grade: Federal employees must meet time-in-grade requirements for consideration.
