The incumbent of this position works under the general supervision of the canteen chief or his/her designee. The primary duties of this position include clerical and administrative responsibilities in the canteen administrative office with collateral duties assigned with canteen operations. As directed by designated canteen supervisory/management personnel and in accordance with established VCS policies, procedures and standards: Controls, accounts for and secures all cash stored in the canteen safe as well as all safe transactions involving petty cash, change funds, withdrawals of funds, coupon transactions, etc. Regularly verifies cash funds. Immediately reports shortages, losses or other discrepancies involving cash or assets; or other violations of established cash, assets or accountability controls. Accounts for and verifies all withdrawals and deposits of funds. Reviews all sales journals and conducts regular reconciliations of all accounts. Investigates and resolves discrepancies, insuring that all accounts are balanced prior to transmittal to the VCS Finance Center. Oversees/verifies receipts of funds on a daily basis. Conducts unannounced cash register reconciliations. Runs cashier reports reflecting overages or shortages. Analyzes cash register tapes to determine if there are an unusual amount of voided transactions, no sale transactions or other cash/funds-handling related discrepancies. Verifies void/no-sale transactions to determine/insure that violations of established cash/assets accountability or funds security violations have not occurred. Approves/verifies customer checks, money orders, credit cards and refunds in accordance with established VCS policies, procedures and standards. Complies with established monitoring and control policies and procedures related to minimizing returned check problems. Takes prompt action to collect cash from customers whose checks have been returned unpaid. Conducts quarterly reviews of coupon books to insure an accurate inventory and on-going balance of same. Prepares and insures the timely and accurate submission of all canteen reports. Responds to requests for information(RFIs), letters of inquiry, etc., as necessary. Prepares correspondence for canteen chief/supervisory personnel as required. Maintains canteen office files in accordance with established file plans. Complies with established suspense dates for recurring reports/correspondence. Controls, manages and/or verifies associate personnel records in accordance with established policies and procedures which may include time-cards, leave schedules and related documents/reports. Clerical, office, or other work that indicates the possession of, or ability to acquire, necessary skills for file/records management, cash handling/accountability, and reports/correspondence preparation.
Experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.
The nature of the work environment, which is normally in a hospital setting, may require, with the availability of appropriate protective devices/clothing: Lifting of moderately heavy items. Exposure to heat, cold and inclement extremes of the weather; exposure to freezer/refrigeration temperature extremes; working around wet or slippery floors or other day to day proximity to similar hazards to personal safety.

2. Knowledge of administrative and clerical duties and responsibilities in a canteen retail office.

4. Ability to verify receipts of funds.
5. Ability to assist in the day to day canteen operations.
