In this position you will directly assist in all aspects of executive level support, staff coordination and office management for the MCC Department to which assigned.  You will perform a wide variety of organizational duties including the development and implementation of work management procedures to ensure that office goals are met and for developing administrative solutions based on experience and knowledge of existing policies and circumstances.

As a Senior Executive Assistant, you will:

  • Perform administrative management functions that service and/or fulfill a number of organizational requirements.
  • Apply new and existing policies, provide advice on requirements, maintain databases, prepare administrative paperwork, and oversee the status of the organization's personnel actions.
  • Develop, establish and implement administrative procedures and management systems to improve the work flow and efficiency.
  • Apply qualitative and quantitative methods toward the assessment and improvement of administrative effectiveness or the improvement of management processes and systems.
  • Create and manage recordkeeping and filing systems for all documents. Create and maintain organizational charts, departmental travel calendars, timekeeping records and travel authorizations and vouchers for the organization.
  • Receive a variety of requests for material on matters for which the organization is responsible. Identify and analyze critical problems and issues, the timing and sequence of administrative events and
    milestones, resource utilization and constraints, and coordination of management controls. Develop innovative solutions, document findings and conclusions, and report findings.
  • Act as the office manager, devising and installing administrative procedures and practices, and ensuring that they are followed in subordinate offices.
  • Provide a variety of support services to the Vice President’s and senior staff which include making appointments, arranging conferences and meetings, maintaining office records and dissemination of office instructions.
  • Arrange meetings by reserving the space, setting the time, and contacting the individuals expected to attend. If necessary, arrange for transportation and lodging for participants. Transmit agenda and background materials to participants, advising them of topics to be discussed.
  • Select and integrate software, such as spreadsheet, database, word processing, publishing, and graphics applications. Select an appropriate system, application, and format for producing program support materials.
  • Provide office automation advice, guidance, and assistance to other staff. Work with users to define required data elements, desired format, and any arithmetic manipulation needed for the specified output.
  • Serves as central point of contact for drafting, clearing and finalizing internal administrative procedures. Maintains a sophisticated correspondence tracking system to ensure that deadlines are met and assignments are completed.
  • Serve as the organization's liaison with various functional administrative offices such as human resources, budget, contracting and supply

To qualify for pay band 4c  level you must meet the following:

Have at least one year of specialized experience comparable to the MCC Pay Band 5 or GS-9 or equivalent nonfederal experience which is directly related to the work of this position and which has equipped the applicant with the knowledge, skills, and abilities to perform successfully the duties of the position.  This experience must include activities such as:  providing administrative and operational support to a major organization in the areas of human resources, budget, contracting, and correspondence. Note: This experience MUST be well documented within your resume or application.


The experience requirement for Pay Band 04c may be met by Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M., if related. Such education must demonstrate the knowledge, skills, and abilities necessary to do the work.


Equivalent combination of higher level graduate education and experience, described above, may be combined to meet the qualification requirements for this position.
