This announcement may be used to fill Regular Status (20-39 hours) or Flexible (0-40) positions as well as positions at other CYS facilities. May require shift work and/or work on rotating shifts to provide coverage on evenings, weekends and holidays.

Greets all parents, children, youth and other visitors in a courteous manner. Conducts or assists with parent orientations. Complies, reproduces and collates routine forms for child records. Reviews and maintains child medications as directed by management. Assists in recording ratio every hour and maintaining accountability. Coordinate vacancies and reservations for the hourly care program. Assists in facility key control.

Provides patrons with up dated accurate Child and Youth Services (CYS) program information. Provides patrons with necessary paperwork to complete registration for CYS programs. Inputs appropriate registration information into Child and Youth Management System (CYMS) database. Ensures accuracy of information on all registration forms, including shot records for children.

Types letters, narrative reports, personnel actions, operating procedures, parent and staff handbooks and other required correspondence using office automation equipment and word processing software. Refers to agency regulations, flip charts, dictionaries and other typical office reference materials to ensure proper format, grammatical accuracy and correct spelling. Able to understand and articulate policies relating to patron fees, waiting lists and program events. Uses e-mail to send/retrieve messages. Operates an electronic cash register system and records individual transactions for customers. Inputs any pertinent data into CYMS as required. Prepares and submits all cashier reports.

Maintains records, files, statistical data and suspense system. Assists in maintaining time, attendance and leave records. Completes mail distribution, copying, telephone calls and travel orders for CYS personnel. Ensures risk management procedures are followed (i.e., abuse prevention, identification and reporting procedures, accident prevention, etc). Monitors supplies and resources and orders office supplies when needed. Performs other duties as assigned.

The minimum qualifcations below must be specified in your resume to be considered for the position:

  • Skill in operating a manual or electric typewriter and current automation system and software (Microsoft Windows, Word, Power Point, and Excel)
  • Must be able to type 40 wpm.
  • Knowledge of grammar, spelling, capitalization and punctuation and composition techniques needed to accurately type a variety of material from written sources or voice recordings.
  • Possess the ability to communicate effectively orally and in writing.

HIGHLY PREFERRED: Experience in performing basic office automation functions such as mailing, scanning, faxing, copying, etc.
