JOB SUMMARY:

Serves under the Senior Associate Administrator for Policy and Operations in the Office of Executive Correspondence (NPO·O 11 ).  Performs a variety of highly complex, sensitive and unique management-assistant duties related to: correspondence analysis, evaluation and control; arrangement of document presentations, context and authorities; dissemination of written material of varying formats and contents; and, organization and safe-keeping of official documents and records.  The work is distinctive in specialization, executive nature and far-reaching influence because this is the focal point for intake and processing of official paperwork addressed to the National Highway Traffic Safety Administration. You will be responsible for activities in a unit providing written communications between the Administrator and officials at the highest levels of government, private industry and the public.

The ideal candidate for this position possesses good organizational skills and is capable of garnering support throughout the organization to accomplish the agency goal and to implement an effective, well-managed correspondence  program.  The NHTSA is looking for someone who is highly motivated, who can facilitate processes, and who can communicate effectively, both orally and in writing, at all levels of the organization.

The Correspondence Supervisor:

  • Manages the work flow in the Office of Executive Correspondence to ensure cohesion in work activity, sharing of workload, alternative processing methods, and maintenance of basic correspondence file and the correspondence database.
  • Is responsible for delegating work assignments to the correspondence analysts and clerks using teamwork concepts. Ensures that staff members and others outside the immediate office who are responsible for related duties receive appropriate training.
  • Plans and organizes safe-keeping processes, disposal techniques and record retention requirements. Maintains a repository of one-of-a-kind paperwork; historical literature and supporting articles and reports for the exclusive use of the Administrator and immediate staff.
  • Assists professional staff with inquiries concerning preferred style and correspondence practices, clearance, distribution and usage techniques, and establishes guidelines and standards for controversial approaches and viewpoints. Serves as a resource for review and acceptance of correspondence in a variety of formats, prepared for presentation to the Administrator for signature or concurrence, acceptance or refusal, guidance or referral.

To meet the minimum qualifications for this position, you must meet the experience qualifications for the grade at which you are requesting consideration.

LEVEL To qualify, you must have at least one year of specialized experience equal or equivalent to the following:
GRADE 9
  • Experience planning and organizing work with multiple priorities.
  • Experience establishing and maintaining filing and correspondence control systems for locating, assembling and summarizing information.
  • Experience providing operational and administrative support to supervisors and staff.

CONDITIONS OF EMPLOYMENT:

  • Selective Service: Males born after 12/31/1959 must be registered for the Selective Service.
  • Probationary Period: You must complete a one-year probationary period (unless already completed).
  • Supervisory Probationary Period: You must complete a one-year supervisory probationary period (unless already completed).
  • Government Travel Card: You must be able to obtain and retain a Government contractor-issued travel card to be used for official business as a condition of employment. If unable to obtain and/or retain a card, you may be subject to removal. Those who fail to meet this condition of employment will have our offer of employment rescinded.

HOW YOU WILL BE EVALUATED:

If you meet the qualification requirements, your application will be placed in one of four categories: Platinum, Gold, Silver or Bronze, which is based upon your responses to the vacancy questions. Within these categories, applicants eligible for veteran's preference that have provided supporting documents will receive selection priority over non-veterans. The top rated applications will be reviewed for the quality of your experience, education and training relevant to the position.
