As a Administrative Office Assistant in the Center for Food Safety and Applied Nutrition (CFSAN), Food and Drug Administration, you will perform a wide variety of administrative functions necessary for the efficient management of the office and ranges from correspondence and information control to ordering and tracking equipment, supplies and services.

    • Independently initiate plans, coordinate and oversee the day-to-day development and implementation of various administrative processes;
    • Advise management on administrative policies and policy changes and coordinate local policies, procedures, and work methods affecting administrative management operations and ensures compliance;
    • Provide technical guidance to staff/management on the interpretation and coordination of information in support of administrative activities;
    • Compose and review all outgoing correspondence, and action papers for procedural and grammatical accuracy;
    • Ensure all time and attendance data is correct and in accordance with the Defense Civilian Pay System;
    • Use a variety of software to include word processing, spreadsheets, and presentations on a computer used as a stand-alone or as part of a network;
    • Schedule staff meetings with stakeholders, and exercise complete control over supervisor's appointments, priorities and time-commitments;
    • Make staff travel arrangements and manage travel vouchers.

In order to qualify for Administrative Office Assistant, GS-303-7/8, you must meet one of the following:

Must be able to type at least 40 words per minute in a five minute sample with three or fewer errors.

AND
Have experience and/or training using several computer systems and software programs to prepare word processing documents and reports.

AND

GS-7

Have at least one year of specialized experience, equivalent to the GS-06 grade level in the Federal service, providing technical assistance on administrative matters to staff and managers; scheduling meetings with staff/stakeholders; maintaining supervisors calendars and schedules with authority to make commitments of time; receiving, reviewing and controlling incoming correspondence, documents; reviewing and preparing outgoing correspondence for format, grammar, etc.; processing time and attendance; making travel arrangements and travel orders, etc.; using a variety of software programs for word processing, spreadsheets, etc.

Have at least one year of specialized, experience equivalent to the GS-07 grade level in the Federal service, initiating, planning, implementing, administrative processes; providing technical guidance to staff and management on administrative policies, procedures; coordinating administrative work of multiple offices; maintain the organization’s calendar; receiving incoming correspondence for appropriate routing and prepare outgoing correspondence for grammar, format, proper coordination, attachments, etc.; ensuring time and attendance data is accurate prior to input in an automated system; and using a variety of software (e.g. word processing, spreadsheets, presentations) to prepare correspondence, reports, etc.


Conditions of Employment:

1. Security and Background Requirements: If not previously completed, a background security investigation will be required for all appointees.  Appointment will be subject to the applicant's successful completion of a background security investigation and favorable adjudication.  Failure to successfully meet these requirements may be grounds for appropriate personnel action.  In addition, if hired, a background security reinvestigation or supplemental investigation may be required at a later time.  Applicants are also advised that all information concerning qualifications is subject to investigation.  False representation may be grounds for non-consideration, non-selection and/or appropriate disciplinary action.
