The Federal Motor Carrier Safety Administration (FMCSA) was established as a separate administration within the U.S. Department of Transportation on January 1, 2000, pursuant to the Motor Carrier Safety Improvement Act of 1999. Our primary mission is to reduce crashes, injuries, and fatalities involving large trucks and buses. FMCSA is headquartered in Washington, DC. We employ more than 1,000 individuals, in all 50 States and the District of Columbia, dedicated to improving bus and truck safety and saving lives.This position is part of the Federal Motor Carrier Safety Administration's Office of Enforcement.  This organization is within the FMCSA's headquarters in Washington, DC.  The purpose of the position is to provide administrative support to two Senior Executive Service Office Directors, the Office of Safety Programs and the Office of Enforcement and Compliance.

The ideal candidate for this position possess the skills to provide executive level administrative and program support which includes the ability to collect data, analyze facts and prepare reports, briefings and other applicable correspondence, and manage multiple projects to meet deadlines.

The Program Assistant:

  • Collects and compiles information for complex administrative projects requiring technical analyses and input from various segments of the organization such as the Office of the Secretary. 
  • Maintains and updates task assignment status information for the Office Directors.  Ensures that policy status charts are up to date. 
  • Schedules meetings and conference rooms based on Agency activities and issues within the customer's purview.  Identifies and contacts appropriate attendees. 
  • Coordinates meetings with and between program offices and other components within the Agency as necessary per the Office Directors’ instructions.
  • Provides timekeeping services for the Office Directors’ direct reports.  Accounts for all staff members’ regular and overtime hours worked; accounts for annual leave, sick leave, and other accountable hours; prepares and processes access requests; and resolves time and attendance issues. Uses Castle to track time and attendance.
  • Receives, screens for content, and processes correspondence in accordance with OST/DOT and FMCSA guidelines.  Monitors and tracks incoming controls, date stamps, logs in, reviews, and distributes to the proper staff member for action.  Uses appropriate database applications such as CCMS to track correspondence.  Drafts responses to routine controlled correspondence using approved templates.  Coordinates with MC-E’s liaison to the Executive Secretariat to update the status of controlled correspondence twice a week.  Maintains the internal MC-E tracking system for documents that do not have CCMS control number.
  • Uses a variety of office software programs such as PowerPoint, Excel, Word, or other formatting programs to prepare letters, correspondence, complex presentations, spreadsheets, minor databases, transmittals, briefings, slides, overhead transparencies, visual aids, and other documents.

To meet the minimum qualifications for this position, you must meet the specialized experience requirements.

LEVEL To qualify, you must have at least one year of specialized experience equal or equivalent to the following:
GRADE 08  
  • Experience utilizing automation systems (i.e., travel, correspondence, time and attendance systems) AND advanced functions of software packages (i.e. word processing, databases and spreadsheets) to edit, reformat and produce an wide range of documents in various formats such as graphics and tables. AND
  • Experience interpreting data, planning work, managing an office, and independently carrying out all the administrative duties for the highest levels of authority in an office.
