Tour of Duty: 

Monday – Wednesday 11:00 am - 7:30 pm and Saturday - Sunday 8:00 am - 4:30.  Off days will be Thursday and Friday OR

Monday 1:00 pm - 9:30 pm, Thursday - Friday 1:00 pm - 9:30 pm, Saturday - Sunday 10:00 am - 6:30 pm, Off days will be Tuesday and Wednesday.

The incumbent assigned to this position will serve as a Medical Support Assistant in Medical Administration Service.  Incumbent is responsible for initiating and performing a variety of clerical and administrative duties associated with patient care and treatment on various tours of duty on any patient care unit of CTVHCS.  Assignments may be changed on an hour-to-hour basis.  Admits patients by established standard operating procedures.  Screens, prioritizes, and acts upon physician’s electronic orders.  Accurately files medical data in patients’ electronic medical records in a timely manner.  Prepares discharge papers, and schedules appointments for outpatient care as required.  Uses computer for data filing/gathering, generating various reports, entering patient information, physician orders, and requests for medical tests, consults, labs, etc.  Ensures required forms are completed and signed as appropriate. Maintains current medical records by deleting or adding forms as needed, assembles records in correct order, ensuring that required forms are completed and signed as necessary.  Coordinates travel arrangements necessary for patient appointments and transfers.  Performs duties as a receptionist for the inpatient care unit and provides miscellaneous clerical support for the unit.  Coordinates nursing home referrals with Social Work Service as necessary.  Also serves as back-up Medical Support Assistant to other inpatient ward units as needed.  Incumbent must, at all times, remain friendly and courteous, regardless of the patient’s or visitor’s attitude or behavior. Position requires incumbent to possess a high degree of tact, poise, and diplomacy when dealing with Veterans who may have multiple health issues.  Performs work involving the collection, compilation, and/or tracking of data and statistical information in support of the organization’s program operation. Must work in a multi-screen computer environment being able to use VISTA and CPRS (Computerized Patient Record System) screens bilaterally.

BASIC REQUIREMENTS:  

·    U.S. citizenship.  

·    Experience: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position.

·    Education:  One year above high school

·    Experience/Education Combination: Equivalent combination of experience and education are qualifying for an entry level for which both education and experience are acceptable.

·    English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.

 

GRADE DETERMINATIONS: Grades and salaries will be determined by the Professional Standards Board (PSB).

 

MINIMUM QUALIFICATION REQUIREMENTS: 

GS-3 MSA (Entry Level)

Experience or Education. None beyond the basic requirements.

 

GS-4 MSA (Developmental Level)

Experience or Education. One year of experience in clerical or office work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position or two years of education above high school.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:

1. Ability to meet, communicate and interact with individuals from varying backgrounds and other health care team members in a courteous and helpful manner in order to complete job assignments.

2. Ability to use various types of office automation equipment and software.

3. Ability to set up, organize, and maintain record systems.

 

GS-5 MSA (Full Performance Level)

Experience or Education. One year of experience equivalent to the next lower grade level or 4 years of education above high school.

Demonstrated Knowledge, Skills, and Abilities. Candidates must demonstrate the KSAs below:

1. Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports.

2. Knowledge of basic medical terminology.

3. Ability to make appointments in a clinical setting.

4. Ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work.

5. Ability to communicate effectively and professionally with employees at varying grade levels.

6. Ability to identify customer’s concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to ensure a satisfactory resolution.

Physical Demand: The work is primarily sedentary, although some slight physical effort may be required.  There may be some walking, standing, bending, and carrying of light items such as papers, books, or small parts. Incumbent may be susceptible to eyestrain from working long hours on the computer.
