This position is being concurrently announced under USDA Demonstration Project procedures (open to US Citizens) under announcement number 13-26-0027DP-TNC, which will open on 12/20/2012 and will close on 12/24/2012. This is a permanent position located with the Pacific Northwest Research Station, Station Director's Office in Portland, OR. This position is responsible for providing administrative, secretarial and clerical assistance to the Assistant Station Director for Research and Assistant Director (AD) for Program Development. This position serves as a personal assistant with responsibility for maintaining effective communication channels with internal and external contacts. Maintains the daily calendar, including making appointments and arranging conferences and meetings without specific prior approval. Reviews all outgoing correspondence for neatness, accuracy, adherence to established format, and adherence to policies.

Receives all visitors and telephone calls, and screens calls to determine the nature and purpose of the call, routes to appropriate staff. Maintains the Assistant Station Director’s daily calendar, including making appointments and arranging conferences and meetings. Transmits meeting agendas and advises meeting participants on topics of discussion. Reviews all outgoing correspondence for neatness, accuracy, and adherence to established format and policies. Receives all incoming unclassified mail and maintains a daily log of all official mail. Transcribes highly technical and scientific material. Assists with recording and transcribing the minutes of Station Management Team meetings and prepares the minutes for distribution, singling out the action items and following up as required. Maintains the Station Management Team SharePoint website.

You must possess the Basic Requirements identified below to be considered eligible for this position. Your application or resume must clearly show that you possess the appropriate experience requirements.

GS-8: One year of specialized experience equivalent to at least the GS-7 grade level. Examples of specialized experience are: Transcribing technical and scientific terms, discussions, and materials into reports, presentations, and speeches. Reviewing correspondence for procedural and grammatical accuracy, proper attachments, dates, signature, and adherence to established format and policies. Arranging conferences and meetings including making travel arrangements for meeting participants. Arranging and managing schedules for management and senior level staff personnel.

TIME-IN-GRADE REQUIREMENT: If you are a current federal employee in the General Schedule (GS) pay plan and applying for a promotion opportunity, you must meet time-in-grade (TIG) requirements with 52 weeks of service at the next lower grade level in the normal line of progression for the position being filled. This requirement must be met within 30 days of the closing date of this announcement.

REQUIRED DOCUMENTS:
