The Safety & Mission Assurance Directorate, (Code 300) is seeking to fill two Secretary positions. One position will be in the Directorate office and the other position will be in the Mission Support Division Director's (Code 320) office. As a Secretary, you will perform administrative and clerical work to facilitate the efficient and effective operations of the office.

As a Secretary within the Safety and Mission Assurance organization, you will exercise exclusive control over the supervisor's appointments, with complete authority for commitment of time. You will screens all calls and visitors, answering most questions and completing most business involving established policy or routine matters without referring people to the supervisor.

You will compose, review and screen all correspondence prepared for the supervisor's signature and brings those of significance to the supervisor's attention. In the supervisor's absence, maintains a file of correspondence and events of which the supervisor should know and, upon the supervisor's return, brings such matters to the supervisor's attention.

You will utilize knowledge of electronic mail systems, work processing skills, and office automation technology to enhance productivity and effectiveness. Provide guidance to clerical teams as necessary.

You will assure smooth flow of work through the office by means of control records relative to flow of correspondence, reports, requests for information, and material for action, review or comment; establish and maintain follow-up as required. Contact subordinate offices to assure recognition of deadlines, progress of material, and timely submission to supervisor for review.
You will advise the supervisor of important office issues arising during the supervisor's absence, and brings significant items in reports, files, and correspondence to the supervisor's attention.
You will act as liaison to other managers and staff within the organization and provide accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions. Inform them of the supervisor's views on current issues and programs.

You will arrange for meeting space, speakers, and support arrangements for large conferences. This includes such activities as writing letters to the speakers and participants, arranging hotel accommodations, transportation to and from the meeting site, social arrangements, and secretarial/clerical support. Develop background information and compose drafts of introductions and talks to be presented at various meetings by supervisor.

Applicant must have one year of specialized experience equivalent to the next lower grade, which has equipped the applicant with the particular competencies needed to successfully perform the duties of the position described above.

Specialized experience in managing office operations and performing the following administrative functions: maintaining supervisor's calendar, completing travel arrangements, reviewing and drafting correspondence, overseeing the work of subordinate clerical staff, screening visitors and telephone calls, and scheduling meetings. This experience MUST include performing duties such as developing and implementing secretarial procedures and policies and utilizing various office automation software to accomplish the work.

HOW YOU WILL BE EVALUATED:

Internal (Status) candidates will be evaluated as follows:
