JOB SUMMARY:

Reclamation is a contemporary water management agency. Reclamation is best known for Hoover Dam on the Colorado River, Grand Coulee Dam on the Columbia River, Shasta Dam on the Sacramento River, and Folsom Dam on the American River. Today we are the largest wholesaler of water in the country and the second largest producer of hydroelectric power in the western United States. -Serves as an Executive Secretary and initial point of contact for correspondence to be signed in the Regional Director’s Office (RDO). 
-Receives, reviews and routes incoming mail and emails, determines need for actions, and assigns to appropriate subordinate offices. 
-Assembles and compiles a variety of requested data and material.
-Plans and schedules travel for the Deputy or Assistant RDs, including complicated itineraries and overseas travel.
-Maintains subject matter files and records that relate to work performed directly for the Deputy and Assistant RDs or associated with the overall work performed within the RDO.
-Prioritizes and schedules activities for the Deputy and Assistant RDs, ensuring that appropriate representation of internal staff, Federal, state, and public officials are present.
-Schedules meetings to include establishing the date, time, and duration, selecting and reserving the location, and coordination with and notification of attendees and their staffs.
-Types a variety of narrative and tabular materials from handwritten or typed drafts, and oral instructions.

GS-08: In order to qualify for the GS-08 grade level, your resume must reflect one year of specialized experience. 

Specialized Experience for GS-08: Defined as experience serving as a secretary or principal office assistant coordinating appointments, schedules, travel, and maintaining calendars; reviewing correspondence for appropriate guidelines, proper grammar and punctuation; and composing and preparing correspondence or other documents in final form. In addition, must have experience using computers and software applications such as Word, Excel and PowerPoint.

GS-09: In order to qualify for the GS-09 grade level, your resume must reflect one year of specialized experience. 

Specialized Experience for GS-09: Defined as experience serving as a secretary or principal personal assistant to a top level official, making commitments for supervisor without prior approval, explaining non-technical policies/procedures with authority to establish administrative priorities, assign work, interpret guidelines, manage the office, coordinating appointments, schedules, travel, and maintaining calendars; reviewing correspondence for appropriate guidelines, proper grammar and punctuation; and composing and preparing correspondence or other documents in final form. In addition, must have experience using computers and software applications such as Word, Excel and PowerPoint.


You must meet all qualification requirements and any selective factors, by the closing date of this announcement.

HOW YOU WILL BE EVALUATED:

Category rating and selection procedures will be used for evaluating this position.  If you meet the basic qualification requirements, your on-line responses to the vacancy assessment questionnaire will be used to determine the quality and extent of your experience, education, training, etc., for placement in one of the following categories:  1)  Best Qualified, 2) Well Qualified and 3) Qualified.  Qualified candidates will be assigned a numerical score on a scale of 70-100 and Veterans with preference will be placed at the top of their respective category.  The assessment questionnaire will take you approximately 30 minutes to complete.

Applicants will be further evaluated on the following “Knowledge, Skills and Abilities (KSAs)” through your resume and responses to the online questions.

1. Knowledge of office management procedures and requirements in order to actively develop and implement effective administrative processes and improve the efficiency and effectiveness of an office. 

2. Skill in establishing and maintaining effective oral and written communication with a broad range of contacts within and outside of the office involving confidential and/or politically sensitive issues.

3. Skill in advising and instructing secretaries in subordinate organizations concerning such matters as congressional inquiries, directives, reports, correspondence, and telephone procedures.

4. Ability to attend to a myriad of details necessary to coordinate and manage schedules, travel, training, procurement activities, personnel services, time and attendance.

5. Skill in using a personal computer, various software applications and ability to type at least 40 words per minute.
