The Department of Energy, Office of Science, Office of the Deputy Director for Science Programs, is seeking a motivated and highly qualified individual to serve as an Administrative Support Specialist.

If selected for this position, you will serve as the senior administrative support specialist to the Director, Office of Science.

- Develop, maintain, and utilize a system of controls for a variety of requests, including complex Congressional requests.

- Manage the daily scheduling of the supervisor's activities and itinerary.

- Manage all preparation and coordination efforts with appropriate staff regarding organization of meetings and conferences.

- Direct preparation of background material for testimony, meetings, and conferences.

- Review communications ensuring substantive policy and program issues are fully and correctly presented.

- Establish and monitor procedures and policies for correspondence, official files, records disposition, scheduling, office protocol, and briefings and presentations.

-Conduct studies and analyses of activities to determine efficiency and utility of internal operating procedures.

- Coordinate work with DOE's Secretary's Office and DOE Executive Secretariat.

- Oversee organization and execution of travel and logistical arrangements.

GS-11: You must posses one year of specialized experience equivalent to the GS-9 grade level in the Federal government.

GS-12: You must possess one year of specialized experience equivalent to the GS-11 grade level in the Federal government.

Specialized experience is experience that equipped the applicant with the particular knowledge, skills, abilities, and that is typically in or related to the work of the position to be filled.

Specialized experience as described as:

-knowledge of the concepts, principles, and practices of planning, analysis, and evaluation and skill and applying such knowledge to a range of office activities ; 

-knowledge of principles, practices, methods, and techniques of the office's planning process, and other program requirements in order to evaluate, develop, interpret, and provide programmatic guidance on implementation methods for requirements and systems;

-ability to communicate orally to deliver briefings while facilitating acceptance of findings;

-ability to communicate effectively in writing to prepare project papers and staff reports;

-ability to coordinate work of an office with other offices ensuring deadlines are met and results are consistent with policies and law requirements; - -ablility to manage daily scheduling, itinerary, and travel arrangements.


GS-11: Ph.D or equivalent doctoral degree OR 3 full years of progressively higher level graduate education leading to such a degree.

GS-12: Although there is no educational requirement for this grade level you must possess one year of experience equivalent to the GS-11 grade level in the Federal government as described in the duties section of this vacancy announcement.


CONDITIONS OF EMPLOYMENT FOR THIS VACANCY: A preliminary background check must be initiated before you can begin work with the U.S. Department of Energy.  Current Federal employees or other individuals with an existing completed background investigation may not be required to undergo another background check; these will be handled on a case-by-case basis in coordination with the Security Office.

Failure to receive a favorable background investigation will result in termination from employment.

This position requires a security clearance and is subject to drug testing.  If selected, you must test negative prior to being appointed to this position and will be subject to random testing thereafter.  Failure to pass subsequent tests could result in disciplinary action, up to and including removal from the Federal service.

Category rating combines the applicant's total qualifying experience and education/training into a single quality category. If you meet the basic qualification requirements, we will further evaluate your entire application package to determine the quality and extent of your experience, education, training, etc., for placement in one of the following categories:

1) Highly Qualified - Exceeds the minimum qualification requirements and all requirements of the position;

2) Well Qualified - Meets the minimum qualification requirements and nearly all requirements of the position;

3) Qualified - Meets the minimum qualification requirements.

The Category Rating Process does not add veterans' preference points or apply the "rule of three", but protects the rights of veterans by placing them ahead of non-preference eligibles within appropriate category. A selecting official may make selections from the highest quality category (Highly Qualified) provided no preference eligible in that category is passed over to select a non-preference eligible in that category unless approval has been granted.
