Incumbent performs office automation duties, using software applications such as electronic mail, desktop publishing, calendars, spreadsheets, database, and/or graphics. Receives, schedules, refers, and contacts members of the staff, Agency, or persons outside the Agency ranging from other government entities to the general public. Screens staff calls and determines if the call requires their attention. Establishes and maintains office files and record systems, including electronic files and records. Receives, reviews, and distributes incoming correspondence and inter-office communications. Personally composes non-technical correspondence and reports from oral instructions, information obtained from files, and data obtained from staff members. Reviews outgoing correspondence and reports prepared by staff for proper format, grammar, and uniformity with policies and recommends improvements in the areas when appropriate. Schedules appointments and maintains calendars, coordinates meetings, and schedules conferences for staff with individuals or groups including health services researchers, academic researchers, contractors, members of the media, and Federal representatives. Assists on special projects such as assembling reports or publications into finished, comprehensive documents.

Type 40 words per minute based on a five- minute typing sample with 3 or fewer errors.

 

AND

 

Have experience using a personal computer and a variety of hardware and software.

AND

Have one year of specialized experience, equivalent to the GS-6 grade level in the Federal service that included maintaining a supervisor's calendar; scheduling appointments, meetings, and conferences; making travel arrangements; assisting with the procurement of office supplies and equipment; drafting and revising a variety of documents to include correspondence, reports, memoranda, and letters; and processing and tracking incoming and outgoing mail and correspondence.
