This position is located in the National Institute of Allergy and Infectious Diseases (NIAID), Office of the Director (OD), Office of Science Management and Operations (OSMO), Office of Administrative Services (OAS), Extramural Administrative Management Branch (EAMB) in Bethesda, Md. 

If you are selected you will advise the supervisor on the practical and technical aspects of office administration, to include procurement, budget, human resources, office automation, training, timekeeping, and travel, and perform staff support work in each of these areas.

If you are selected you will perform the following duties:


Receive and direct visitors and notify appropriate personnel of visitors and nature of business.  Determine the level of importance and priority of visitors’ business.


Prepare written documents, letters, memoranda, emails, and enter data.


Monitor and acquire office supplies for the workplace, ensure adequate stock of all purchases, and reorder supplies as appropriate.  Track procurement requests and reconcile deliveries with requests.


Provide technical assistance to the AOs in the formation and development of budget estimates.  Monitor the use and rate of expenditures of select items in program budgets.


Perform a variety of human resource related duties, including preparation of personnel packages and updates, assistance with the recruitment process, assistance with in-and-out processing of staff, and maintenance of updated reports on personnel actions in progress.


Use various software applications, such as word processing, spreadsheets, and presentation software to prepare documents for other employees.   Review the material for grammar, punctuation, and other errors.


Serve as a timekeeper and reconcile and maintain current records to assure accuracy, up-to-date record keeping and accountability in the event of an audit. Advise appropriate managers of time and leave problems.


Serve as the travel system representative.  Arrange travel for staff members, including scheduling transportation, arranging hotel accommodations; keeping in touch with staff enroute; and preparing travel vouchers, travel orders, and requests for travel advances. 


If you are selected at the GS-05 or GS-06 level, you will essentially perform the same duties as the full performance level described above, however duties are less complex and will be performed under closer supervision with more detailed guidance.

To qualify at the GS-05 level:

You must have completed 4 years of education above high school.


Have 1 year of specialized experience equivalent to at least the GS-04 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: performing clerical tasks related to monitoring and maintaining office files; performing timekeeping duties; receiving and directing telephone calls and visitors; responding orally to inquiries and requests for information; and, interacting with staff from administrative and payroll offices to resolve pay issues.


Have a combination of post high school education and experience that meets 100% of the qualification requirements for this position.

To qualify at the GS-06 level:

Have 1 year of specialized experience equivalent to at least the GS-5 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: researching and furnishing information for recurring questions; providing logistical assistance for office moves, telecommunications, and key/lock requests; providing various office support service and resolving problems, such as telephone services, tracking/coordinating general building service calls/requests; and tracking budgetary transactions.

To qualify at the GS-07 level:

Have 1 year of specialized experience equivalent to at least the GS-6 level in the Federal service obtained in either the private or public sector, performing the following types of tasks: coordinating travel activities and maintaining reports on travel activities for the organization; coordinating the logistics for special events; gathering, monitoring and accessing data for use in budget allocations; reviewing expenditures of funds; identifying and developing methods to track budget expenditures or other related data; and providing guidance and advice in various administrative areas.

In addition, this position requires the skill of a qualified typist. You must be able to type at least 40 words per minute.
