Incumbent will process orders, charting of ordered medications usually done by the ward clerks in an inpatient setting; processes orders, etc. usually done by medical clerks in an ambulatory care setting. Incumbent performs release of information duties normally done in a Medical Records Office (both inpatient and ambulatory care); request medical information from other facilities normally done in a Release of Information office.

Incumbent checks-in scheduled and unscheduled appointments of veterans patients in the Veteran Health Information Systems and Technology Architecture (VISTA), Appointment management and collects demographic information for the designated team; Coordinates outpatient scheduling of all appointments for designated team providers; Incumbent assists team staff in obtaining laboratory, radiology, etc. reports for VISTA/CPRS; assists team staff in updating problem list for each episode of care.

Incumbent is responsible for accessing the medication profiles in the Computerized Patient Record System (CPRS) to ensure that veteran patient medication requests are referred to the assigned provider or team member; assists team staff in monitoring JCAHO required record criteria (i.e. history and physical exam, signing operation reports, informed consents, etc.); Coordinates consultations in the facility and with other facilities, normally done in another administrative office; transcribes doctor's orders in the proper VISTA/CPRS programs; screens and refers telephone calls to appropriate areas and Transcribes physician orders in outpatient setting. As well as, additional duties assigned by service line chief/management and/or supervisor included but not limited to fee basis referral, filing records, reminder call for patient's appointments in clinics, writing minutes for meetings, action required profile and time keeping.

Work Schedule: Day Shift/Rotating Shift-Management has the right to change tour.

1. Ability to plan effectively, set priorities, and coordinates activities.

2. Skilled in communicating orally/writing to exchange information and resolve problems.

3. Ability to order and analyze any laboratory procedures and treatment with diagnosis.

4. Knowledge of medical terminology.

5. Knowledge of computer systems, i.e. VISTA, CPRS, Microsoft Word and Excel.

Receiving Service Credit for Earning Annual (Vacation) Leave:  Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee.  VA may offer newly-appointed Federal employees credit for their job-related non-federal experience or active duty uniformed military service.  This credited service can be used in determining the rate at which they earn annual leave.
