Major Duties GS-5: The Medical Support Assistant is responsible for scheduling appointments, including interpreting and verifying provider orders in accordance with national scheduling guidelines.  Duties include, but are not limited to:  scheduling, canceling, re-scheduling patient’s appointments and/or consults; entering no show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both inpatient and outpatient appointments for areas of responsibility; ensuring encounter forms are completed; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other facilities or private hospitals; performing basic eligibility, co-pays and pre-authorizations requirements for specific coverage’s.

Major Duties GS-6: The Medical Support Assistant (MSA)works collaboratively in an interdisciplinary coordinated care delivery model (i.e., patient aligned care team, or other specialty care setting where the patient aligned care team model is used such as oncology, HIV, SCI,, Military Sexual Trauma, Etc.).  The MSA coordinates with the patient care team to review the clinic utilization by using various reports (e.g., Clinic Utilization Statistical Summary), ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments.  They develop and/or maintain effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies (e.g., assist with communications during the inpatient to outpatient discharge; communicate with non-VA medical facilities; facilitate and/or process secure messaging with the patient and team; notify patients of normal lab results; develop and manage a tracking system for follow up care such as consults, tests, etc.).  Other assignments at this level include, but are not limited to: participating in team huddles and team meetings to manage and plan patient care; setting priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs; may work with the team to reinforce the plan of care and self-help solutions and entering appropriate information into the electronic record; monitoring pre-appointment requirements to assure readiness for patient visit and or procedures (e.g., X-ray, lab work); managing electronic wait list to verify and validate accuracy and resolve issues; participating and providing input in problem solving on operational issues or procedures in team meetings, performing administrative follow up actions; participating in and independently following up on tam huddles by sharing information and collaborating with the medical team to assure continuity of care; evaluating patient information and clinic schedule lists to determine whether patient is vested; educating providers about shared patients (those who receive their care at multiple VAs or those who have care in the community) and bringing to the attention of the provider.  The MSA maintains the efficiency of the clinic by using the Practitioner’s Patients Primary Care Management (PCMM) report to scrub their clinic panel.

Physical Demands:  The work is primarily sedentary.  Physical demands do not exceed those of a typical office setting.  There may be some walking, standing twisting, turning, sitting, pushing, bending, repetitive keyboarding, or carrying of light items.  Some positions may require sitting for long periods of time at a computer terminal typing data while talking on a telephone headset.  In addition, there can be increased stress due to the intensity of a patient/customer complaint or concern. 

Work Environment:  The work environment involves everyday risks or discomforts, which require normal safety precautions.  The work requires safe work practices with office equipment, avoidance of trips and falls and observance of fire regulations.  The work area is adequately lighted, heated and ventilated.  The employee works in a close proximity to patients, and is therefore, exposed to communicable diseases.  Some exposure to verbal abuse may be experienced in certain position.

Work Schedules:  Monday through Friday, 1st shift.

QUALIFICATIONS:  The following are the amounts of experience and/or education required to qualify for this position.  Creditable Experience is defined as, experience that demonstrates the knowledge, skills, and abilities (KSA’s) associated with current Medical Support Assistant responsibilities.  Experience satisfying this requirement may be paid/non-paid employment as a Medical Support Assistant.

BASIC REQUIREMENT:  Experience - Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position, OR Education – One year above high school.  This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.  One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university OR Combination – Equivalent combinations of experience and education are qualifying for this position.  (TRANSCRIPTS REQUIRED)

 

MINIMUM QUALIFICATIONS:

Experience GS-5:   One (1) year of experience in clerical or office work that is directly related to the duties of a Medical Support Assistant and that equips you with the with the particular knowledge, skills, and abilities to perform successfully the duties of this position.  This experience must be equivalent to the next lower grade level.  Experience at this level includes, but is not limited to:  scheduling, canceling, re-scheduling patient’s appointments and/or consults; entering no-show information; monitoring the electronic wait list; preparing for clinic visits; monitoring both the inpatient and/or outpatient appointments for areas of responsibilities; ensuring encounter forms are completed in order to  obtain appropriate workload credit; verifying and updating demographics and insurance information; processing all emergency and non-emergency transfers to other facilities; and performing basic eligibility, co-pays and preauthorization requirements for specific coverages.  *Your resume must support your answers in the occupational questionnaire.

OR

Education GS-5:  Four years of successfully completed education above the high school level.  This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university.  One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university. *Transcripts are required.

Experience GS-6:  One (1) year of experience in clerical or office work that is directly related to the duties of a Medical Support Assistant and that equips you with the with the particular knowledge, skills, and abilities to perform successfully the duties of this position.  This experience must be equivalent to the next lower grade level.  Experience at this level includes, but is not limited to:  the ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information and/or data into or from electronic medical records, scheduling systems and/or reports; knowledge of basic medical terminology; ability to make appointments in a clinical setting; ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work; ability to communicate effectively and professionally with employees at varying grade levels; and the ability to identify customer’s concerns, perform the task required to resolve the issue accurately and timely, and follow up as necessary to ensure a satisfactory resolution.

The total percentages must equal at least 100 percent to qualify an applicant for that grade level.
