JOB SUMMARY:

HAWAII ARMY NATIONAL GUARD

NATIONAL GUARD MEMBERSHIP IS REQUIRED: This is an excepted position that requires membership in a compatible military assignment in the National Guard. Selectee will be required to wear the military uniform. Acceptance of an excepted position constitutes concurrence with these requirements as a condition of employment. Applicants who are not currently a member of the National Guard must be eligible for immediate membership and employment in the National Guard in the military grade listed in this announcement.

LOCATION:  Joint Force Headquarters (JFHQ) – G3, Hawaii Army National Guard, Kalaeloa, Hawaii.

AREA OF CONSIDERATION:  Present enlisted members of the US Armed Forces within the State of Hawaii

SUMMARY OF DUTIES:  The purpose of this position is to serve as the personal assistant and principal clerical and administrative support to one or more supervisors.

·         Receives visitors and telephone calls and exercises judgment in screening those which can be handled personally or be referred to other staff personnel or divisions.

·         Keeps the supervisor’s calendar.

·         Makes arrangements for conferences and meetings.

·         Reads incoming correspondence, publications, regulations, and directives which may affect the supervisor.

·         Reviews outgoing correspondence for proper format.

·         Provides assistance in the procedural aspects of the office.

·         Maintains office files of correspondence, directives, regulations, and other convenient information.

·         Arranges for travel, arranges visit schedules, notifies organizations and officials to be visited, makes reservations, and submits travel vouchers and reports.

·         Utilizes word processing equipment to select information from source data or type, from plain copy or rough draft, a variety of material, including military and nonmilitary correspondence, reports, summary sheets and staff studies, and statistical and tabular material.

·         Receives requests for information including specialized or classified material from military and civilian persons, and performs other duties as assigned.

GENERAL EXPERIENCE: Experience, education or training performing any combination of the following tasks: typing (letters, forms); general clerical (answering the telephone, receiving visitors, composing correspondence, filing, reviewing outgoing  correspondence for grammar, format, etc.) stenographic (taking and transcribing shorthand). Experience using computer and automation systems.   

SPECIALIZED EXPERIENCE: Must have at least six months experience in the performance of clerical or administrative duties which demonstrates that the applicant has a working knowledge of general office routines and functions. Experience referring visitors, screening telephone calls, and routing correspondence by name or functional area. Experience utilizing computer software to prepare correspondence.

Compatible Military Assignments: Prior to placement in this position, the selected applicant must be assigned to a valid position in ENL:  Predominant MOS of the organization, CMF42.


SUBSTITUTION OF EDUCATION FOR SPECIALIZED EXPERIENCE

Completion of two academic years of full-time business school or two academic years of education above the high-school level.  To be creditable, applicants must submit transcripts, diplomas or other forms of completion certificates to provide verification of related courses.

NOTES TO APPLICANTS:

b. The purpose of this announcement is to establish a list of eligibles.  Eligibles on this list will be given automatic consideration for position vacancies occurring during the six months period following the close of this announcement.

c.  The compatible military duty assignment listed is broad in scope and does not mean that such military assignments are authorized/vacant.  The selecting official reserves the right to select the most compatible and available military assignment.  Unless otherwise stipulated in this announcement, such military assignment must be in the same unit by which employed (or a unit that is supported by the employing activity).

d. This temporary limited appointment may be converted to a non-temporary appointment without further competition.

e.  If you are selected for this position, you will be eligible for health and life insurance and you will be covered under a retirement system.

f.  Permanent change of station (PCS) expenses may not be authorized for this position.  Authorization for payment of PCS expenses will be granted only after determination is made that payment is in the best interest of the Hawaii National Guard.

g.  This type of appointment is expected to extend beyond one year.  Separation will be preceded by a 30-day notice when services are no longer needed.  Permanent technicians will remain on permanent status if selected.

h.  Applicants may be screened and evaluated on military attributes directly related to the compatible military position required to be assigned into, such as, but not limited to, military bearing, leadership, or ability to work with others (teamwork) in a military environment. 

i.   In addition to your application, documents of last performance appraisal may be submitted.  If the performance appraisals are not available, documents of past civilian performance, letter of recommendations, and or military performance may be submitted.  These documents will be evaluated as part of the selection process.

j.  Final selection will be based upon qualifications, suitability, and available manpower

     resources. 

kk. k.  This employer will provide the Social Security Administration (SSA) and if necessary, the Department of Homeland Security (DHS) with information from each new employee’s Form I-9 to confirm work authorization.

l.l.Sl.  Selectee will be scheduled for formal training at the Professional Education Center (PEC) within the first six months of employment.  Unless there are extenuating circumstances, failure to complete National Guard Bureau prescribed courses at PEC within the first year of employment, may be cause for reassignment to other full-time positions or termination of employment.

Participation in direct deposit is mandatory.
