The Advanced Medical Support Assistant position is located at the Central Texas Veterans Healthcare System, Temple, TX, in Patient Aligned Care Teams (PACT) and other specialty clinic/care setting where the PACT model is used. The Advanced Medical Support Assistant coordinates with the patient care team to review the clinic utilization by using various reports, ensure that the clinic setup is closely monitored to effectively support the needs of the clinic, and make any necessary adjustments. Patient care is delivered in a team based approach know as a teamlet. The Advanced Medical Support Assist is a member of the PACT Teamlet. Assignments at this level include, but are not limited to: Patient administrative functions that require prompt and expeditious action involving application of a wide variety of complex procedures and processes; encounters daily and frequent personal and telephone contact with a variety of individuals, including physicians, nurses, and technical support staff, Veterans, their families, and Veteran Service Offices.

Duties include, but are not limited to:
· Schedules appointments, verifies and updates demographics and insurance information. Completes return to clinic orders and recalls reminders.
· Developing/maintaining effective and efficient communication with the patient, VA Medical Center, and other agencies.
· Communicating with non-VA medical facilities, facilitate/process secure messaging with the patient.
· Participating in team huddles/team meetings to manage and plan patient care, set priorities and deadlines, adjusting the flow of work to meet team and patient needs. Acting in the capacity of a liaison/expediter between patients and staff members as well as other services, including specialty and ancillary services. Advising patients of any delays in the clinic schedules.
· Securing necessary information for entry into the database of VistA by interviewing and registering applicants.
· Making determination of legal eligibility based on service data provided by the Veteran or his family or availability of other military records.
· Ensuring Veteran's insurance card has been processed.
· Scanning all administrative data in the electronic administrative record.
· Determining Veterans' eligibility by HINQ access, DD-214, means test, telephone contact to VAROs, St. Louis RPC, and other sources. Advising Veteran and/or practitioners of Veteran's eligibility and entitlement for care. Printing appointment lists on a daily basis.
· Transcribing orders, to include tests under the CPRS menu such as lab tests, X-rays, EKGs, etc.
· Entering patient information in the electronic waiting list as appropriate. Coordinating all activities and appointments for continuity of care.
· Ensuring patients are informed of all scheduled appointments to minimize rescheduling and no-shows.
· Entering no-show information for patients who fail to report for scheduled appointments and rescheduling patients as ordered by the clinician.
· Providing Clinicians with a daily list of encounters requiring completion for workload credit.
· Participating and providing input in problem solving on operational issues or procedures in team meetings, performing follow up actions; participating in and independently following up on team huddles by sharing information and collaborating with the PACT to assure continuity of care. Ensuring means test is up-to-date when applicable.
· Screening calls and taking messages as appropriate. Receiving inquiries from patients concerning a variety of medical, personal, and administrative matters.
· Uses initiative to answer questions of an administrative nature while referring those of medical nature to professional staff.

Work Schedule: Rotating tours, Monday through Friday, 7:30 a.m. 4:00 p.m.; 8:00 a.m. 4:30 p.m.; or 9:30 a.m. 6:00 p.m.; or 2:00 p.m. - 10:30 p.m., with occasional Saturdays.

Physical Requirements: The
work is primarily sedentary and walking. The work requires the ability to
handle multiple demands simultaneously in dealing with a wide variety of
clients on a daily basis. Tasks will require prolonged use of computers. There
are lengthy periods of sitting, interrupted by intervals of walking and
climbing stairs about the medical center to make the many personal contacts
required of this position.
Basic Requirements:
· Citizenship: Must be a U.S. Citizen
· Experience/Education: Experience: Six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position. OR Education: One year above high school OR Experience/Education Combination: Equivalent combination of experience and education are qualifying for an entry level for which both education and experience are acceptable.
· English Language Proficiency: Must be proficient in spoken and written English in accordance with VA Handbook 5005, part II, chapter 3, section A, paragraph 3j.
· Pre-employment Physical: Must pass a pre-placement/employment physical examination.
Preferred Experience: Experience gained in
working in an administrative health care setting, to include, scheduling,
canceling, & re-scheduling patient's appointments and/or consults; monitoring electronic
wait list; preparing for clinic visits; monitoring patient appointments; verifying and
updating demographics and insurance information; processing all emergency and
non-emergency transfers; performing basic eligibility, co-pays, and
preauthorization requirements.
Experience refers to paid and unpaid experience, including
volunteer work done through National Service programs (e.g., Peace Corps,
AmeriCorps) and other organizations (e.g., professional; philanthropic;
religions; spiritual; community; student; social). Volunteer work helps build critical
competencies, knowledge, and skills and can provide valuable training and

Grade Determinations: Advanced Medical Support Assistant, GS-0679-06:
One year of experience equivalent to the next lower grade level (GS-5).
Qualifying experience includes experiences gained in working in an
administrative health care setting, to include, but may not be limited to:
scheduling, canceling, re-scheduling patient's appointments and/or consults; entering
no-show information; monitoring the electronic wait list; preparing for clinic
visits; monitoring both inpatient and outpatient appointments for areas of
responsibility; ensuring encounter forms are completed in order to obtain
appropriate workload credit; verifying and updating demographics and insurance
information; processing all emergency and non-emergency transfers to other VA
facilities or private hospitals; performing basic eligibility, co-pays and
preauthorization requirements for specific coverage (i.e., TRICARE, sharing
agreements, etc.).
Candidates must also demonstrate the KSAs below:
· Ability to collaborate, communicate, set priorities, and organize the work in order to meet deadlines, ensuring compliance with established processes, policies, and regulations.
· Ability to communicate tactfully and effectively, both orally and in writing, in order to meet program objectives. This may include preparing reports in various formats and presenting data to various organizational levels.
· Advanced knowledge of the technical health care process as it relates to access to care.
· Advanced knowledge of managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.
· Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.
· Advanced knowledge of medical terminology due to the technical nature of language utilized by Clinicians.
