This position is located in the Primary Care program under Clinical Services at the Erie VA Medical Center. The Medical Support Assistant's role is an integral part of the Patient Aligned Care Team (PACT) to which they are assigned. It is a complex role requiring an understanding of VA policies, independent decision-making, and multidisciplinary collaboration. The MSA will demonstrate exceptional interpersonal and customer service communication skills while working collaboratively with medical center programs/services, and multidisciplinary team members in providing accessibility to care and in meeting a patient's care needs, both clinical and administrative. The PACT team is a clinical and administrative network designed to provide fast responsive help for Veterans seeking care which include but is not limited to Primary Care, numerous Specialty Care Clinics, Mental Health, and CBOCs.
Duties include (but are not limited to):
·Accepting telephone calls to the PACT regarding outpatient inquiries;
· Prioritizing and making decisions based on caller/patient needs;
·Applying advanced knowledge of clinic scheduling rules, assisting with patient notification of follow up appointments and scheduling of post discharge follow up visits;
· Providing administrative support to designated PACT;
· Serving as key contact for Veterans, Veterans' families and community providers;
· Utilizing computer technology to ensure continuity of care through accurate patient information, communication and documentation;
· Reviewing and updating patient demographic and insurance information.
Functional Statement Title: Medical Support Assistant, GS-0679-05, Patient Alligned Care Team (PACT)
Work Schedule: Monday - Friday, 8:00 a.m. to 4:30 p.m.
Physical Requirements: The work while primarily sedentary in nature requires periods of standing, walking, stooping, lifting and bending. There is extended work on computer keyboards and viewing on computer terminals.
Basic Requirements:
· U.S. citizenship. Non-citizens may be appointed when it is not possible to recruit qualified citizens in accordance with VA Policy.
· A minimum of six months experience of clerical, office or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of the position.
· One year of education above high school can be substituted for the 6 months of experience listed above
· Equivalent combination of experience and education are qualifying for entry level for which both education and experience are acceptable.
· Must be proficient in spoken and written English.
To be creditable, the experience must have demonstrated the knowledge, skills, and abilities (KSAs) associated with current MSA responsibilities.
Preferred Experience: Experience in customer service dealing with diverse clientele, experience with any type of scheduling and proficiency in computer programs such as word processing, spreadsheet and database application.
Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Part time experience is creditable according to its relationship to the full-time workweek. For example, a MSA employed 20 hours a week, or on a 1/2 time basis, would receive 1 full-time workweek of credit for each 2 weeks of service.
Grade Determination:
GS-5 - This is the full performance level. At this level, the MSA performs a full range of duties. The MSA is responsible for scheduling appointments, interpreting and verifying provider orders, canceling/re-scheduling appointments, entering no-show information, monitoring the electronic wait list, preparing for clinic visits, monitoring both inpatient and outpatient appointments for areas of responsibility, ensuring encounter forms are completed in order to obtain appropriate workload credit, verifying and updating demographics and insurance information, etc.
One year of experience equivalent to the next lower grade level or 4 years of education above high school is required.
Demonstrated Knowledge, Skills and Abilities are:
1. Ability to operate computerized programs and databases in order to enter, modify and retrieve sensitive information/data into or from electronic medical records, scheduling systems and/or reports.
2. Knowledge of basic medical terminology.
3. Ability to make appointments in a clinical setting.
4. Ability to work independently in the accomplishment of a wide variety of duties, including setting priorities and coordinating work.
5. Ability to communicate effectively and professionally with employees at varying grade levels.
6. Ability to identify customer's concerns, perform the tasks required to resolve the issue accurately and timely, and follow-up as necessary to ensure a satisfactory resolution.
