Incumbent serves as Staff Assistant to the Regional Administrator and Deputy Regional Administrator. Assists the office in coordinating and keeping abreast of the status of ongoing OSHA administrative and management activities in the Region and of the status of various projects, task forces, and due dates in the major program areas through daily contact with the Assistant Regional Administrators and Area Directors. Reviews, identifies, and prepares synopses of correspondence and reports, publications, and other communications. Establishes appropriate control systems and files for correspondence. Maintains logs for required monthly and weekly reports. Responds to inquiries and administrative problems brought to the Regional Administrator's Office by OSHA program and staff officials, and by DOL, Congressional, Federal/State, Union, and industry representatives. Receives and reads incoming mail for the supervisor's office. Assembles and organizes material for use by the supervisor during speaking engagements and may draft parts of speeches. Makes necessary arrangements for conferences and staff meetings. Attends principal staff meetings and takes notes of proceedings and action items. Uses word processing software to produce a variety of documents and correspondence. Uses database or spreadsheet software to enter, revise, and retrieve data for standard reports. Transmits and receives electronic mail and messages. Maintains administrative records such as travel vouchers and time/attendance records.
