    Summary

    The purpose of this position is to serve as an Administrative Support Specialist, reporting to Team Chiefs in the Office of Intelligence & Analysis, part of the Office of Terrorism and Financial Intelligence.

    Responsibilities

    As an Administrative Support Specialist, you will:

    • Reviewing and analyzing all papers (including reports, memoranda, briefing papers, and other papers of a substantive nature) submitted to management.
    • Making travel arrangements for management.
    • Drafting, typing, and preparing correspondence for signature of TFI and OIA leadership, ensuring that documents have correct punctuation, spelling, grammar, format and style. 
    • Making arrangements for meetings and conferences, including scheduling meetings and handling all logistics such as building access, clearance verification, conference room reservation, sending invitations, and escorting guests. 
    • Tracking and reviewing progress of assigned programs and correspondence and identifies and resolves related problems, assuring completion of assignments in keeping with the OIA’s Team Chiefs’ guidance, and presenting the views and opinions of OIA’s Team Chiefs and Leaders on office policy issues and administrative management.

    Qualifications

    Specialized experience:  For the GS-12, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-11grade level in the Federal service. Specialized experience for this position includes: 

    • Performing administrative duties such as planning, development, evaluation and decision-making to support program initiatives; AND
    • Reviewing and analyzing reports, memoranda, and other substantive documents submitted to management; AND
    • Planning and coordinating meetings for supervisors.

    Specialized experience:  For the GS-11, you must have one year of specialized experience at a level of difficulty and responsibility equivalent to the GS-09 grade level in the Federal service. Specialized experience for this position includes: 

    • Planning and developing in support of administrative or operational aspects of a program; AND
    • Providing recommendations for improvement; AND
    • Drafting communications, including reports and briefings, for management.

    OR You may substitute education for specialized experience as follows: Ph.D. or equivalent doctoral degree or 3 full years of progressively higher level graduate education leading to such a degree or LL.M., if related.

    OR
    You may qualify by a combination of successfully completed graduate level education and specialized experience. Only graduate level education in excess of the first 2 years may be combined with experience. Only graduate level education in excess of the first 36 semester hours (54 quarter hours) may be combined to be considered for qualifying education.

    CONDITIONS OF EMPLOYMENT

    - A one year trial period may be required.
    - Must have, or be able to obtain and maintain, a Top Secret security clearance based on a Single Scope Background Investigation (SSBI).
    - Must be eligible for Sensitive Compartmented Information (SCI) access.
    - Must successfully complete a background investigation.
    - Complete a Declaration for Federal Employment to determine your suitability for Federal employment, at the time requested by the agency.
    - If you are a male applicant born after December 31, 1959, certify that you have registered with the Selective Service System or are exempt from having to do so.
    - Have your salary sent to a financial institution of your choice by Direct Deposit/Electronic Funds Transfer.
    - Go through a Personal Identity Verification (PIV) process that requires two forms of identification from the Form I-9.  Federal law requires verification of the identity and employment eligibility of all new hires in the U.S.
